Job Summary
The Executive Administrative Assistant will provide administrative support to the Legal Department. This position will specifically support the Senior Vice President & General Counsel, Legal while overseeing all aspects of office operations.
Essential Functions
- Maintain calendar, schedule appointments and meetings, answer phones for Senior Vice President & General Counsel, Legal and other members of legal department
- Compile communication wrap up reports. Assist with other communication related projects.
- Process legal bills for payment.
- Make travel arrangements and prepare monthly expense reports.
- Order department supplies and subscriptions, submit invoices for payment, and tracks expenses. Order business cards, submit work orders and telecom requests. Maintain copier, fax and printers as needed.
- Maintain general daily office operations, book conference rooms and coordinate any audio visual and catering needs. Open, prioritize, respond, and/or re-direct confidential and non-confidential mail and electronic communications as appropriate.
- Assist with fulfillment of charitable sponsorship requests such as submitting journal ads and facilitating the donation of auction items
- Develop, monitor, and update legal contracts lists and assist with maintaining legal filing system.
Required Qualifications
- High School Diploma or its equivalency (BA/BS Degree Preferred)
- 0-2 years Related administrative experience supporting an executive
- Proficient with Microsoft Office Products (Word, Excel, PowerPoint, Outlook)
- Proficient with mobile and social media platforms
- Strong verbal and written communication skills and able to interact will all levels of the organization
- Must be highly organized and demonstrate attention to detail
- Good interpersonal skills and experience managing an executive’s calendar(s)
- Maintain a sense of urgency with an ability to meet tight deadlines; able to maintain the confidentiality of highly sensitive information; must be a self-starter with the ability to work with minimal supervision
- Ability to work extended hours and/or weekends to provide support to a project and/or executive
- Must be able to think creatively and pay close attention to detail
- Passion for sports and/or entertainment is preferred
- Current Notary Public license is preferred
Pay Scale: $23.17 - $33.00
