The Executive Assistant provides high level administrative support to the Chief Executive Officer.
They are looking for a true "right hand” gatekeeper to handle all things administrative.
The ideal candidate has over 3 years of experience supporting a busy executive in the C-Suite.
This position is responsible for performing administrative duties such as managing calendars; screening calls; making travel, meeting, and event arrangements; preparing reports and presentations for the North American executive team.
The role must act seamlessly with a professional demeanor throughout the organization, acting as a trusted partner, managing key projects, and handling sensitive and confidential information.

Responsibilities:
- Maintain CEO's calendar, including but not limited to scheduling meetings, appointments and anticipating needs.
- Scheduling meetings across time zones and platforms; (Teams, Zoom, Outlook)
- Coordinating domestic and international travel arrangements for CEO and for visitors from abroad, hotel bookings, corporate transportation, and dining reservations
- Planning and executing internal (e.g., team lunches, meetings) and external events (e.g., closing dinners), as well as processing expense reports
- Conducting research and additional administrative tasks as required
- Performing various facility-related functions as needed
- Serve as a liaison between CEO, employees, customers, vendors, and headquarters. Prioritize and respond to phone calls and emails where required.
- Prioritize and communicate messages and information to the CEO.
- Attend meetings and take notes of discussions; prepare initial draft of minutes and summaries. Maintain various records and documents for CEO.
- Play a key role in the coordination of senior leadership team, preparing reports, required data, coordination of key projects and programs.
- Assist in the onboarding process for new hires, scheduling meetings and agendas as required.
- Prepare, reconcile, and submit expense reports and company credit cards.
- Prioritize demands for CEO; redirect matters to staff to handle, or handle matters personally as appropriate.
- Act as back up where appropriate to the Office Administrator and general administrative support duties.
- 3 plus years of previous experience supporting a senior executive team.
- Excellent computer skills, proficient in Microsoft Teams and Office Suite (Outlook, Word, PowerPoint, and Excel)
- Flexible team player with strong interpersonal skills and a track record of creative problem-solving
- Ability to cultivate strong relationships with both internal and external stakeholders.
- Comfortable handling sensitive information.
- Effective communication skills and thrive in a fast-paced team environment.
- Exceptional writing, editing, and proofreading skills.
- Consistent performance, reliable, and strong attention to detail
- Highly organized and exceptional self-management skills, especially when meeting deadlines and working to strict schedules.
- Hybrid positions – able to work remotely and in office as required.
- Travel within North America as required. (At least 5 times a month)
- This position works day shift, with occasional overtime.
