Summary - basic function of the role
In this exempt level Executive Assistant role, you will perform confidential administrative duties requiring comprehensive administrative experience as well as versatility, composure, independent judgment, professionalism, and customer focus. The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention to detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to coworkers. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position. This position supports members of the Executive level leadership.
Shift: Monday-Friday - Required to be in office 4 days a week.
Job Duties and Responsibilities
- Prepares correspondence, reports, presentations, and documents
- Schedules and maintains calendar of appointments and coordinates related arrangements for members of the senior executive team
- Assists with managing meetings and planning events (arrange conference rooms, sleeping rooms, catering, AV equipment, flights, ground transportation, dinners, and entertainment activities)
- Manages and processes expenses for General Counsel, EVP & CHRO, and Regional President - Americas
- Coordinates travel, including renewals of Visas required for international travel
- Manages the company ticket programs
- Completes complex projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem solving, adjusting plans, knowing when to use discretion and when to seek input
- Screens telephone calls and visitors, and resolves routine and complex inquiries
- Improves quality results by evaluating and implementing process improvements
- Collaborate with other assistants on daily planning and preparation, special projects, company-wide events, vacation coverage etc.
- Act as a liaison between internal and external business partners, advisors and other stakeholders; field requests, answers questions, and resolve issues
- Assists with processing legal invoices and quarterly legal budgeting

- Detail oriented, well organized, able to manage time and multi-task to accomplish a multitude of tasks with conflicting priorities and timelines
- Highly professional; able to tolerate peak workloads and multiple assignments while demonstrating a calm demeanor and retaining composure in stressful situations
- Able to work independently on projects from conception to completion and with limited direction; self-starter
- Skilled in creating executive level PowerPoint presentations, Word documents, and Excel spreadsheets
- Solutions-oriented and able to perform a variety of non-routine duties and resolve problems that vary in nature and complexity
- Team-oriented with a can-do attitude and demeanor
- Works on assignments that are moderately complex in nature where judgment and independent thinking are required in resolving problems and making recommendations
- Maintains confidentiality at all times; demonstrates high standards and integrity
- Relies on experience and judgment to plan and accomplish goals
- Capacity to communicate and articulate clear and concise messages at all levels within the organization
Education Requirements:
- Five to seven years of administrative assistant experience; 2+ years supporting C-level executives preferred
Experience Requirements:
- Excellent interpersonal skills (written and verbal)
- Knowledgeable and proficient in Microsoft Word, Excel, Outlook, PowerPoint; proficiency in Concur Expense & Travel system desired
Physical Demands
Employee will have to be able to walk/climb to a variety of primary work locations. Employee will need to listen, understand, and speak with team members in person, telephonically, and electronically at all levels within a diverse workforce and with supported organizations. Employee can work in front of a personal computer and telephone for long periods of time.
Work Environment
Primary work environment is temperature-controlled office setting, but may also include typical warehouse environment on occasion, where following appropriate safety protocols at the location would be required. Employee will be exposed to low levels of noise in an office.
