The salary range for this position is $80,000 - $100,000 per year based upon a San Francisco location. Offered salary is dependent upon experience and location. POSITION SUMMARY
The Office Coordinator position is a hybrid role responsible for overall front office activities. Additionally, this role provides Executive Assistant support to 3 Vice Presidents. The Office Coordinator is responsible for planning, directing and coordinating office services and related activities, including space planning, arranging internal office moves.
RESPONSIBILITIES
Office Coordinator
- Builds strong, effective relationships with Facilities, Building Management, Vendors and other internal partners to ensure smooth office operations including registering guests and visitors.
- Manage calendar and meeting room bookings.
- Supervises the maintenance and alteration of office areas and equipment, including space planning, arrangement and housekeeping of office facilities.
- Ship and pick up packages 2 x per day.
- Negotiates the purchase of office supplies, maintain office pantry and office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
- Supervises the maintenance of office equipment, including copier, fax machine, etc.
- Participates as needed in special department projects.
Executive Assistant
- Handle confidential, urgent materials and information in a dynamic, fast-paced work environment.
- Manage, organize, coordinate and maintain executive's calendar, meetings, and travel arrangements.
- Build strong and effective partnerships with LVMH peers and key partners such as IT, facilities, and 3rd party vendors.
- Screen, monitor and process correspondence in the executives' absence to ensure timely action is taken; compose outgoing correspondence as appropriate.
- Organize data, produce and update reports and presentations.
- Maintain filing system and control department follow-up system.
- Coordinate and follow-up on projects as assigned.
REQUIREMENTS
- Minimum 5 years administrative experience in a fast-paced environment.
- Experience managing office activities, including facilities, space planning and managing supplies.
- Previous retail/wholesale industry experience helpful; passionate about the beauty industry.
- Ability to take initiative and act independently. Able to work interactively and proactively with executives at all levels in the organization.
- Able to handle sensitive and confidential information with discretion.
- Resourceful, logical and creative problem solver.
- Strong organizational skills, able to track multiple projects.
- High level of accuracy, able to detect inconsistencies and errors.
- Effective interpersonal skills, approachable and flexible.
- Excellent verbal and written communication skills.
- Computer skills - MS Office (Word, Excel, PowerPoint, Outlook) and generally tech-savvy / comfortable with software applications and database programs.
- Flexible with hours and in working overtime when required.
