Executive Assistant
The Executive Assistant provides high-level administrative support to the General Manager and others has needed. This role requires excellent organizational skills, attention to detail, and the ability to handle sensitive information. The executive assistant manages calendars, coordinates meetings and events, handles travel arrangements, and supports various administrative tasks to ensure smooth operations.
What you’ll be doing as a Executive Assistant
+
Provide administrative support to Bell Piney Flats GM and executive team.
+ Oversee GM calendar and use independent judgement to prioritize meetings, assignments, and various needs.
+ Assist in scheduling and coordinating VIP visits.
+ Coordinate leadership team meetings and events.
+ Oversee leadership team calendar.
+ Set up meeting rooms as needed.
+ Administer time off requests for GM’s direct reports and others.
+ Oversee Administration SharePoint & Teams sites.
+ Book travel reservations for GM, as well as other employees as needed.
+ Prepare expense reports for the GM and executive team.
+ Edit and publish the employee newsletter.
+ Order office supplies and equipment as necessary.
+ Other administrative support as required.
Qualifications
Skills You Bring To This Role
+
Microsoft Office products including Word, Excel, PowerPoint, and Outlook.
+ Strong organizational skills and attention to detail needed.
+ Ability to handle multiple tasks in timely manner.
+ Strong communication and interpersonal skills.
+ Demonstrated ability to appropriately handle confidential and sensitive information.
+ Strong ability to be adaptable and flexible to shifting priorities and changes.
What you need to be successful
+
High School Diploma or Equivalent.
+ 5 years of administrative experience.
+ Proficiency in Microsoft Office products including Word, Excel, PowerPoint, and Outlook.
Working Conditions/Physical Requirements
+
Ability to sit and/or stand for long periods throughout the day.
+ Ability to use a computer, including keyboard, mouse and standard office equipment.
