Executive Assistant, Related California - Related

Related California is looking for a professional Executive Assistant to support a team of Vice Presidents and Project Managers. This individual will be based out of the San Francisco Office. Responsibilities include, but are not limited to:

• Schedule and coordinate meetings both on and offsite; manage busy calendars of appointments for up to 6 executives.
• Prepare and process monthly expense reports and track reimbursements, as necessary.
• Arrange travel, including airline, hotel, and car service reservations.
• Act as gatekeeper and primary point of contact between internal staff and management.
• Compile documents for meetings including DocuSign routing.
• Manage communication channels such as screening phone calls and drafting emails.
• Communicate and notify team member(s) on updates in regards to respective projects.
• Maintain filing systems and ensure the proper retention, protection, and disposal of records; manage data entry and record-keeping tasks including scanning and electronically filing mail.
• Assist Office Manager with day-to-day office operations as well as administrative staff with administrative coverage as needed.

Compensation

• $36.06 - $40.87/hour
• Annual performance based bonus

• Minimum of 3-5 years of administrative experience.
• Experience supporting multiple executives and working in a corporate environment.
• Must have a high level of professionalism and maturity.
• Excellent verbal and written communications skills.
• Strong multitasking capabilities and time management, excellent organizational skills.
• Proficient in Microsoft Office; strong knowledge of MS Outlook, Word, Excel, PowerPoint.
• Comfortable in a fast-paced environment.
• Bachelor’s degree required.
• Notary Public certification is a plus.
