Work Model: On-site, 5 days a week
Our client, a leading investor, developer, and asset manager operating across North America is looking to bring on an Executive Assistant.
Key Duties and Responsibilities:
Provide executive support to the Founder & CEO, Managing Partner, Private Equity, and other Partners, including calendar management, scheduling appointments and meetings.
Assist the executives with personal tasks, such as, purchasing gifts, running errands, arranging household tasks, etc.
Set up and coordinate large internal team meetings.
Create and update PowerPoint presentations for internal monthly meetings.
Schedule travel arrangements across Canada and the US for executive team members.
Prepare expense reports for executive team members.
Manage both internal and external communications on behalf of the CEO & Founder, including phone calls, emails, etc.
Provide backup support to other members of the Corporate Operations Team, including administrative support to other Managing Partners when required.
Assist with event planning and other external events.
Assist with miscellaneous tasks and special projects for the Corporate Operations Team, as required.
Reconcile corporate credit card statements.
Drafting and proofreading correspondence, memos, and other written materials.
Managing special projects and assignments as directed by the executive.
Maintaining confidentiality and discretion regarding personal matters and sensitive information.
Candidate Profile:
- Minimum five years experience as an Executive Assistant on a dynamic and professional team
Strong client service mindset.
Strong communication (verbal and written) and interpersonal skills.
Self-starter, highly organized, professional.
Exceptional attention to detail.
Capability of working independently and prioritizing tasks.
Proficiency in Microsoft Office – Outlook, Word, PowerPoint and functional capability in Excel.
