Executive Management Assistant - High-Tech Manufacturing - Base Salary to 100k/year - Plainview, NY - Allsearch Recruiting

• Our client, an established and growing high-tech manufacturing company, is currently seeking an experienced Executive Management Assistant onsite at their Plainview, NY area location.  The Executive Management Assistant will work in complex high-tech environment to support the CEO in the smooth operation of administrative and executive office functions.

Responsibilities:

• Manage the CEO’s email inbox, prioritizing and categorizing messages. Respond on the CEO’s behalf when required
• Arrange and coordinate travel plans, including flights, accommodation, transportation, and itineraries. Process and manage travel expenses (Concur), ensuring accuracy and timely submission.
• Conduct follow-up calls and communications with stakeholders as directed by the CEO. Maintain a professional and responsive line of communication with internal and external contacts.
• Schedule, organize, and prepare for meetings, including booking conference rooms, arranging materials, and ensuring technical equipment is set up. Receive guests and provide hospitality, ensuring a positive and professional experience.
• Maintain and manage the CEO's calendar, scheduling appointments, meetings, and events. Anticipate scheduling conflicts and proactively reschedule or adjust plans as necessary.
• Prepare, edit, and proofread correspondence, reports, and other documents. Organize and maintain filing systems, both electronic and paper, ensuring confidentiality and accessibility.
• Handle ad-hoc tasks and projects as assigned by the CEO, providing timely and efficient solutions. Assist with office management tasks, such as ordering supplies and coordinating with vendors.

• 5+ years proven experience as a corporate Executive Assistant
• Comfortable in a high-tech, complex environment
• Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
• Discretion and confidentiality in handling sensitive information.
• 8am - 5pm Monday - Friday hours; always onsite when visitors are present; flexibility for occasional remote work

• Base salary in the 80k - 100k/year range
