Job Summary/Objective:
- Actively engages with the CEO to provide assistance with daily administrative duties that will completes a broad variety of tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings. This position is responsible for the communication on behalf of the CEO to the Summit Pointe Board and assists with Board meeting documents and preparation as directed by the CEO. This position will provide executive level project management to the Executive Team as directed by the CEO. Communicates with the general staff on the CEO’s behalf and coordinates logistics with high-level meetings both internally and externally.
Essential Duties and Functions:
- Coordinates meetings and strategic projects with the Executive Team and the SP Management Team.
- Communicates directly and on behalf of the CEO with Board members, community members and other stakeholders on matters related to programmatic initiatives as directed.
- Supports CEO in external commitments including service on external boards, committees, and other groups.
- Serves as the President’s administrative liaison to the Board of Directors and manages Board activities, which include coordinating Board meetings, Board staff lunches/receptions/new Board member orientations; and compiling, assembling, and distributing Board meeting materials.
- Coordinates Board sub-Committees on behalf of the CEO.
- Maintains confidential files and contact information.
- Coordinates meetings, conferences, and committees both on and off site to support the CEO’s agenda.
- Maintains Board documents and ensures all accessible according to standards.
- Participates as an adjunct member of the SP Management team including assisting in scheduling and attending meetings.
- Represents the CEO in designated meetings as required.
- Assists in coordinating the agenda and necessary data tracking of the SP Management Team. Prepares an account of the meetings, designates and follows up on assigned action items.
- Participates in corporate quality improvement and problem-solving activities.
- Maintains confidentiality and privacy within MDHHS, state and federal guidelines.
- Utilizes knowledge of CARF, CMS, MDHHS and Managed Care standards.
- Performs other duties as assigned.
Qualifications:
Educational
- Associate’s Degree in Business or related field required, Bachelor’s Degree preferred.
Basic Qualifications
- Seven years of progressively more responsible administrative experience.
- Proficient in word processing and other software applications, google drive and conference room technology.
- Administrative skills in the areas note-taking/shorthand; typing (60 words per minute); writing/editing/proofreading skills preferred.
- Excellent organizational, communication, computer, analytical and problem-solving skills.
- Self-directed and resourceful.

- Professional office environment that generates noise from computer equipment/peripherals.
- Possible exposure to health risks (violence and infectious diseases).
- Sometimes lifts, carries, or moves objects up to 25 lbs.
