JOB TITLE: Facilities and Construction Clerk
REPORTS TO: Director of Facilities and Construction

POSITION PURPOSE/SUMMARY The purpose of the facilities and construction clerk is to assist the department so that projects throughout the district are carried out in an effective and efficient manner.
QUALIFICATION REQUIREMENTS The facilities and construction clerk shall have a high level of organization, customer service, and competence in clerical skills, as well as the ability to function in a team environment.
ESSENTIAL DUTIES
1. Maintain records for contracted service work including, but not limited to, electronic filing of all service tickets for HVAC Service contractor, Automation companies, Water Filtration contractor, and HVAC
2. Process all Change orders for HVAC extras
3. Maintain HVAC inventory spreadsheet
4. Maintain HVAC Contractor Preventative Maintenance tickets
5. Oversee the project bidding checklist for new projects and perform assigned duties
6. Schedule appointments and meetings, including pre-bid meetings, bid openings, and pre-construction meetings
7. Distribute Addenda to contractors
8. Collect contractual documents from awarded contractors
9. Return bid bonds and deposits to contractors
10. Distribution of specs & plans to contractors for projects
11. Process approved Pay Applications, from Vendors and Consultants
12. Process Change Orders
13. Assist with the collection of all Closeout documents from Contractors
14. Prepare correspondence, forms and notices, including soliciting contractors for project bids
15. File, sort interoffice mail, duplicate and type materials as assigned
16. Maintain the confidential nature of all school-related matters
ADDITIONAL DUTIES
1. Perform other duties as assigned by the Superintendent and Director of Facilities and Construction
2. Effectively communicate, verbally, and in written form, with students, administrators, staff, and the community as needed
MENTAL DEMANDS Ability to maintain confidential information; communicate clearly both orally and in writing, and/or ability to reason and make appropriate decisions. Solve a variety of problems in many different situations and perform in a fast-paced environment.
PHYSICAL DEMANDS While performing the duties of this position an employee is regularly required to sit, stand, walk, talk, and hear. The employee will often lift, carry, move, push, or pull up to 20 pounds. TERMS OF EMPLOYMENT Employment will be on an at-will basis for 12 months with two weeks vacation, beginning July 1, or from the time of employment for the duration of the school year with prorated vacation and/or personal leave. The facilities and construction clerk will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the Board of Education at any time, as needs dictate. Eight hours will constitute a workday. The Deputy Superintendent will establish a definite daily schedule. The yearly salary will be disbursed in twenty-four (24) equal payments.
EVALUATION Performance of this job will be evaluated annually in accordance with the provisions of the Board’s policy on evaluation of support staff personnel.
