Clean Harbors in LaPorte, TX is seeking a Field Administration Manager;
Essential Functions/Responsibilities
Tasks • Generates or assists with quotes to customers based on input received from the Specialist and/or the Account Manager. • Identifies questionable quoted disposal, transportation, labor or material rates and presents to the General Manager before quote is released; Adds profiled waste to all orders prior to pick up and ensures profiles are properly priced via the quote or contract. • Responsible for matching daily worksheets with original quotation and communicating any and all changes to the Site Services General Manager • Performs daily worksheet entry and scanning into WIN. • Creates purchase orders for assigned branch(s) expenditures; Works closely with collectors and Regional Finance Manager to assure proper extension of credit to customers. • Support local Remedial Operations with the same duties they perform for the Site Services branch(s). • Monitors worksheets for accuracy and completion prior to entry. • Creates appropriate job-related purchase orders; Creates sales orders for customer service requests; Reviews open sales orders and closes where appropriate; Manages customer PO details per the Company Policy. .
Takes the lead on setting up new customers that result from incoming service requests and ensures customer information is accurately input into Beacon; Initiates job folder set up, including all applicable paperwork; Completes new profiles, recerts and amendments and ensures that they are scanned if necessary. Reviews IP workbench daily and resolves any outstanding items in a timely manner.
Schedules transportation with the appropriate logistics office for disposal pickups; Creates paperwork for all scheduled jobs and ensures accuracy prior to use on-site or in the field. Resolves all off specs within 48 hours and communicates with Sales, the Customer and Central Billing; Assures daily billing of the business with expectation that billing is accomplished each day and is consistent each week and respond in a timely manner to all billing issues/questions on unbilled reports; Complete and submit short pay and credit rebill requests. Ensures payroll reconciliation workbench is tied out prior to Company deadline; Ensures proper documentation of field personnel hours. Assists the Site Services General Manager in the hiring process; Provide guidance and support to direct report personnel to develop their skills and qualifications so as to maximize the benefit for the employee, Company and Department Managers all personnel folders; Sets up new hire paperwork, drug screens and physicals; Conduct routine employee performance assessments and Company required Performance Appraisals.
Purchases all general office supplies. Involved in operation and maintenance of system hardware including but not limited to copiers and scanners; Processes vendor invoices for payment; Works with the purchasing department to resolve any vendor issues in a timely manner.

Education/Experience: Minimum Requirements
Required/PreferredEducation DescriptionMajor/Specialization Required 2 years college or specialized training General Studies Experience: 5 to 7 years Alternative: Alternative combinations of education and experience may be accepted in lieu of degree.
Required/PreferredCertificate or License • Strong customer service skills. • Strong communication skills. • Ability to handle multiple tasks simultaneously.
Knowledge, Skills, & Abilities/Competencies
• Proficiency in Windows based applications. • Knowledge of disposal technologies and waste class codes. • Knowledge of Field Service and Industrial Service lines.
