POSITION SUMMARY
The Financial Secretary at Ironsmith Fire must be multifaceted, dedicated, and detailed oriented. This role will be vital in supporting our financial operations, ensuring accurate record-keeping, and assisting in the smooth functioning of our administrative tasks. The ideal candidate will possess strong analytical skills and a solid understanding of financial processes within a construction office environment.
OBJECTIVES
- Maintain accurate financial records, including accounts payable and receivable.
- Process invoices and receipts in a timely manner.
- Work with management to prepare and submit invoicing to clients, including service invoicing and AIA type construction progress invoicing with a detailed Schedule of Values.
- Assist in preparing monthly financial reports and budgets.
- Handle correspondence related to financial matters.
- Assist with payroll timesheet submission and maintain employee records.
- Organize and maintain financial files and documentation.
- Ensure compliance with company policies and industry regulations.
- Prepare documentation for internal and external audits as required.
- Liaise with vendors, clients, and internal teams regarding financial inquiries.
- Support project managers with budget tracking and financial analysis.
- Perform general administrative tasks to support the office operations.
- Assist in coordinating meetings, taking minutes, and distributing information.
- Answer incoming telephone calls and dispatch to the appropriate department and/or individual.
- Follow and execute organizational processes including but not limited to Finance, Human Resources, and Operations.

- Excellent verbal and written communication skills, capable of explaining complex financial information in an understandable way.
- High level of professional ethics and integrity in handling confidential information.
- Strong organizational skills with attention to detail.
- Great customer service skills.
EDUCATION AND EXPERIENCE
- Bachelor's degree (or equivalent experience) in accounting/finance, or a minimum of 4 years in a construction accounting role. Experience in fire sprinkler construction industry is a plus.
- Proficiency in accounting software, MS Office (especially Excel), and familiarity with ERP systems.
- Comprehensive understanding of GAAP,
- Construction accounting experience with AIA Billing including but not limited to schedule of values, lien waivers, and contract management. Notary would be a plus.

PHYSICAL REQUIREMENTS
- The ability to maintain a high level of energy and stamina to manage long hours, concentrating on complex financial information and tasks for extended periods.
- Ability to handle and manage stress related to deadlines, financial forecasting, and high-stakes decision-making.
- While primarily a skill, the physical aspect includes the ability to speak clearly and effectively in public and private settings, and to engage in face-to-face meetings.
- Good general health to fulfill job responsibilities effectively, including being able to work long hours when necessary.
- Light lifting, occasionally lifting and transporting office supplies or files, typically weighing less than 20 pounds.
