This is responsible, administrative and supervisory work in accommodating the guest service areas of the hotel property. Work involves the need of assistance of the hotel facilities, front desk staff and repeat guests. An employee allocated to this class of work is responsible for ensuring that the guests are being serviced in professional and competent manner. Work is performed in accordance with standard policies and procedures but the employee exercises a considerable amount of independent judgment in carrying out assigned duties and responsibilities. Work is performed under general direction of an administrative superior and is reviewed through observation of results.
Physical Requirements:
- Standing/Walking: Constantly: At front desk on tile or carpet.
- Crouching (bend at knees): When getting supplies from cabinets, picking things up from the floor, and loading the computer printer with paper.
- Stooping (bend at waist): Getting keys, supplies, and doing paperwork on the front desk.
- Twisting (knees/waist/neck): When working with several people at once; watching for guests; retrieving material.
- Reaching (overhead/extension): Passing materials to guests over the front desk counter.
- Handling/Grasping: Handling telephones, folios, files, fares, supplies, keyboards, grasping pens, telephones, and credit card.
- Pushing/Pulling: Average weight frequently 5 lbs. Maximum weight occasionally 20 lbs.
- Lifting/Carrying: Average weight frequently 5 lbs. Maximum weight occasionally 20 lbs.
Front Desk Supervisor Job Duties
- Work with Front Office Manager to train and monitor front office staff.
- Has complete knowledge of the software system.
- Has complete understanding of the front desks policies and procedures.
- Assists in front desk duties such as answering calls, making reservations and assisting guests.
- Understands how to post charges correctly and answer billing questions.
- Ability to load rates on third party sites when necessary.
- Responsible for responding to guest requests in a timely manner.
- Documenting items needed for packages, daily/weekly as necessary.
- Reviewing forecast weekly, anticipate group/corporate, repeat guest needs (items)
- Receive and resolve guest complaints, elevating to management if necessary.
- Perform bookkeeping activities, such as stocking and ordering repeat guest amenities.
- Be aware of guest satisfaction scores via comment cards, feedback and work toward increasing departmental and overall guest satisfaction from repeat guests.
- Responsible for responding to all comment cards in a timely manner.
- Approach guests to ensure they are enjoying their stay and make sure any guest complaint or request gets handled immediately by front office, housekeeping or with all other guest service agents.
- Follow up with guest requests and reports of more complicated needs.
- Maintains regular attendance, is consistently on time, and observes prescribed work, break and meal periods in compliance with standards.
- Demonstrates high quality of work, accuracy and acceptable productivity standards.
- Other duties if assigned by managers.
