Job Summary: The General Office Accounts Payable Support Clerk is responsible to the Office Manager for the review of all vendor invoices in accordance with company policy. They are responsible for the daily processing of company business transactions in order to ensure effective, efficient and accurate financial and administrative operations.
Essential Functions:
1. Provide support to branches on A/P issues and requests (New Supplier code requests)
2. Validate weekly branch A/P batches for accuracy by comparing scanned invoices to branch input. Help branches make necessary changes and corrections.
3. Communicate A/P policy and procedure requirements to branch personnel.
4. Prepare and key punch General Office invoices into A/P system for payment.
5. Provide support to accomplish weekly A/P runs which includes maintaining/completing logs, printing A/P checks, and preparing A/P checks for mailing.
6. Create and print payroll related checks for weekly and salary payrolls.
7. Order A/P supplies
Imaging Responsibilities include:
1. Review & validate scanned incoming image batches from branches for A/P invoices, Branch Checks, Branch Returns and move them into imaging system.
2. Scan & validate General Office batches of A/P invoices and voided checks and move them into imaging system.
Other Responsibilities include:
1. Review and audit employee expense reports in the Ultimus work flow.
2. Print month end P&L reports
3. Complete miscellaneous tasks and projects as assigned.
Qualifications:
- Proficient with 10 key machine, MS Office, with an emphasis on Excel spreadsheets.
- Excellent written and verbal communication skills in English, especially in telephone skills. - Proven excellent interpersonal skills and ability to work successfully in a team environment.
- Great organizational and multi-tasking skills; detail oriented.
- Show successful experience in the ability to enthusiastically press into action collection efforts.
- Demonstrate a good understanding of general business operating procedures and be proficient in data entry.
Education:
- Some business or similar experience.
Typical Physical Activity: - Physical Demands/Requirements consist of standing, walking, sitting, talking on the phone, occasionally lifting up to 25 lbs., stooping, typing, fine dexterity, hearing and speaking.
Typical Environmental Conditions:
- Indoor offices, meeting rooms of a typical industrial laundry, service center or depot.
