Job Description
The Global Corporate Expense Finance Lead position will report directly to the Associate Director and will collaborate closely with many teams within the Finance Shared Services (FSS) organization.
The Global Corporate Expense Finance Lead is a pivotal role designed to provide strategic support and operational oversight across all employee business expense activities. The Finance Lead will be responsible for the ongoing support of key programs and assist in executing the overall strategy for AbbVies Corporate Expense Reporting program. This role serves as the key point of contact and functional subject matter resource; and will understand, enhance, and promote internal controls according to company policy.
A successful candidate will demonstrate outstanding time management, organizational skills, and the ability to run multiple projects/tasks simultaneously. This individual will be responsible for ensuring the seamless execution of T&E operations, working on system enhancements, and assisting with driving cost efficiencies and global compliance based on the CFM5010 Employee Business Expenses policy for all global affiliates. This position requires someone with a positive attitude, confident demeanor, independent problem solving skills, and excellent communication skills, who can provide a high level of customer service to internal stakeholders.
Hybrid role Position available in two locations (corporate office Lake County, IL or Florham Park, NJ)
Responsibilities:
This role serves as a functional subject matter resource to support the Corporate Travel and Expense (CTE) system for 50,000+ global employees across all AbbVie global legal entities and will understand, enhance, and promote internal controls according to the company policies.
Assist with supporting the Concur system, setting strategic direction and ensuring alignment with global policies and objectives. Represent CTE on process design and operational discussions across all AbbVie organizations.
Resolve expense issues and risks, assist with implementing solutions that mitigate impact and support business continuity.
Develop and deliver communication, training, and education, to ensure understanding of processes, procedures, and policy compliance.
Collaborate with cross-functional teams (affiliates, AbbVies outsourced BPO auditing service provider, BTS, corporate card, and travel) to support global strategies and project initiatives. Foster ongoing engagement and partnership with largest internal stakeholder - US Field Sales Force organization - to drive expense report compliance and agility.
Actively manage and analyze to identify trends, compliance risks, opportunities for optimization and savings by leveraging technology and best practices to enhance user experience.
Review and audit Senior Leader expense reports for accuracy and compliance.
Prepare and analyze the annual Senior Leader report for the SVP Corporate Controller and Board of Directors Audit Committee.
Provide confidential employee travel and expense details to Legal, OEC, and Internal Audit for urgent requests related to employee litigation and investigations. Identify and recommend solutions to remediate Internal Audit recommendations and control gaps.
Ad-hoc reporting/projects and assist with organizational acquisitions and integrations including policies and related applications.
Qualifications
Bachelors degree (Finance or Accounting, preferred) with 1 year Travel & Expense experience or equivalent business experience of at least 3+ years in a Travel & Expense role.
Strong experience with expense management software, Concur preferred.
Concur Cognos & Intelligence Reporting.
Proficient in Microsoft Office products (with advanced skills in Excel).
Experience in a Global Finance Function of a multi-location, multi-national corporation.
iRep/Veeva system familiarity and Pharmaceutical/Health Care Provider (HCP) transparency reporting experience a plus.
Strategic thinker with a keen eye for detail and the capacity to manage complex, multi-faceted operations with excellent analytical skills-adept at report analysis and data-driven decision-making.
