Position Overview:
The HR Administrator provides comprehensive administrative support to the HR department, focusing on recruitment, employee engagement, and reporting.
The role involves managing the onboarding process, ensuring compliance with training and documentation requirements, and acting as a project manager for various HR initiatives.
This position requires maintaining confidentiality while supporting organizational diversity, equity, and inclusion goals. The HR Administrator works independently and is encouraged to suggest and implement process and system improvements proactively.
This is a hybrid role for the first 60 days, requiring both in-office and remote work as needed to ensure smooth transition and training completion.

Key Responsibilities:
Recruitment Support:
- Assist in full-cycle recruitment, including sourcing candidates, reviewing resumes, conducting phone screens, and coordinating interviews.
- Maintain the Applicant Tracking System (ATS) and track candidate status to ensure timely follow-up and compliance with recruitment standards.
Onboarding:
- Manage the entire onboarding process, including background screenings, vaccination compliance, reference checks, benefits overview, and distribution of company property.
- Oversee security access setup and completion of all new hire paperwork, ensuring a smooth and compliant onboarding experience.
Compliance & Employee Records:
- Ensure all new hires complete mandatory training and maintain confidentiality of HR records and files.
- Ensure compliance with federal, state, and local employment laws, maintaining updated records.
Training Compliance:
- Follow up with employees to ensure completion of all required annual trainings.
- Maintain accurate documentation to ensure organizational compliance with training requirements.
Employee Engagement & Surveys:
- Distribute and analyze workforce engagement surveys to inform HR strategies.
- Coordinate employee engagement programs and events, and facilitate 30, 60, and 90-day check-ins for new employees to support retention.
Project Management:
- Serve as project manager for key HR projects, such as performance review cycles and job description reviews.
- Ensure timely execution and completion of all assigned projects.
Employee Relations Support:
- Act as a witness and note-taker during disciplinary and corrective action meetings.
- Provide support on employee relations matters, following up as needed to ensure resolution.
Reporting & Analytics:
- Compile, analyze, and distribute reports related to recruitment, employee engagement, and workforce metrics to support data-driven HR decision-making.
General Administrative Support:
- Provide administrative assistance across all HR areas, including managing HR documentation and responding to employee inquiries.
- Assist the HR team as needed with day-to-day operations and initiatives.
What We’re Looking For:
- Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred). In lieu of a degree, four years of direct HR experience required.
- 2-3 years of HR experience, focusing on administrative and recruitment support.
- Highly proficient with HR systems, including Applicant Tracking Systems (ATS) KTBS & iSolve, and Microsoft Office Suite, including Outlook, SharePoint, Word, Excel, OneNote, and other software applications.
- Strong organizational and project management skills with the ability to handle sensitive information confidentially.
- Familiarity with federal, state, and local employment laws.

Your Role at a Glance:
- Hours & Location: This is a full-time position, Monday through Friday, from 9:00 am to 5:30 pm. The role operates in a hybrid capacity for the first 60 days, requiring both remote work and in-office presence at our various locations.
Sample Day as an HR Administrator:
- 9:00 AM – 9:30 AM: Check emails, prioritize tasks, and respond to employee and candidate inquiries.
- 9:30 AM – 10:30 AM: Review applications in the ATS, screen resumes, and schedule interviews.
- 10:30 AM – 11:30 AM: Manage onboarding tasks—background checks, compliance, and new hire paperwork.
- 11:30 AM – 12:30 PM: Update employee records and ensure training compliance.
- 12:30 PM – 1:30 PM: Lunch Break.
- 1:30 PM – 2:30 PM: Compile and analyze employee engagement survey data.
- 2:30 PM – 3:30 PM: Attend HR team meeting or manage HR projects (e.g., performance reviews).
- 3:30 PM – 4:30 PM: Support employee relations, attend meetings, and document actions.
- 4:30 PM – 5:30 PM: Update HR documentation, prepare reports, and organize tasks for the next day.
