The HR Specialist - Employee Data Administration (EDA) serves as a subject matter expert for employee data and position data within Ascension’s HCM. This role partners with internal Ministry-Wide Function HR groups as well as Ministry Market Leaders. The EDA Specialist also serve an important role in day to day transactions of associate/position data and various project activities. This position reports to the Supervisor, HR Data Administration. Candidates with experience in Human Resource data administration as well as PeopleSoft HCM are highly desirable.
Responsibilities:
- Completes daily hires, rehires, transfers, and concurrent hires automation process exceptions and works closely with the Talent Acquisition to ensure accurate data entered.
- Processing job, position, personal and pay data changes via PeopleSoft transactions.
- Provides EDA support to HR Teams, Leaders and Associates by researching and completing ServiceNow cases with required approvals.
- Analyzes daily audits by researching errors and making corrections as required.
- Works closely with Talent Acquisition, Market Ops, Compensation, Associate Health, Benefits, Payroll, Ascension Technologies to correct associate data and communicate accordingly.
- Communicates downstream impacts of data changes to Benefits, Payroll, Provisioning and LCE.
- Processes manual Mass Data Change fallouts as needed
- Monitors associates on Leave of Absence for upcoming transfers, pay increases as well as processes the transactions upon the associate’s return to work.
- Processes severance transactions, stores Severance Agreements and communicates with Payroll to ensure accurate Associate Compensation.
- Validates requested Name Changes and Social Security Number changes via the Social Security Administration website.
- Completes and verifies Employee Self Service Personnel Action Requests (PAR) for Date of Birth and Education updates.
- Compiles and distributes New York and DC State regulated notifications to associates.
- Cross trains with other HR Shared Services areas and provides help as needed.
- Cross trains with other HR Data Administration teams and provides backup as needed.
Education:
- High School diploma equivalency with 2 years of cumulative experience OR Associate's degree/Bachelor's degree OR 4 years of applicable cumulative job specific experience required.
- 2+ years Human Resource experience
- Experience managing core HCM associate and job data and associated business process/workflows with primary focus on position management, hire/transfer, is required.
- Ability to gather data and conduct analysis and use relevant data to solve problems, recommend process and/or system improvements within HR functional areas
- Excellent written, verbal and data entry skills
- Experience with MS Excel and Google Suite products (Gmail, Google Sheets, Google Docs, etc)
- Experience with one of the more tools and technologies: PeopleSoft, Oracle, Cloud, ServiceNow or other HR related software
