Qualifications
- Proven experience in customer service or administrative roles, preferably in the HVAC or construction industry.
- Strong organizational and multitasking skills, with the ability to prioritize tasks in a high-pressure environment.
- Excellent communication skills, both verbal and written.
- Knowledge of local building codes and permit application processes is a plus.
- A team player with a high level of dedication to delivering quality customer service and project support.
As an HVAC Customer Support Specialist, you will be the backbone of our daily HVAC operations. Your role will involve direct interaction with clients, scheduling jobs, coordinating with team members, pulling permits, and managing other essential administrative tasks. Your primary goal will be to ensure smooth operations and excellent customer service throughout the job’s lifecycle. This role will report to the Director of Operations.
The main tasks associated with this title include:
- Work with the Director of Operations to Create and Implement Standard Operating Procedures for All Varsity Zone HVAC Production.
- Utilization of CRM’s including Service Titan, Microsoft Office, etc.
- Involvement with weekly production meetings to discuss previous weeks and scorecard numbers with the service / repair division.
- Responsible for all HVAC Scheduling and Communications, Including:
- Document management including job folders.
- Schedule and coordinate HVAC jobs including service and maintenance.
- Follow up with customers on service and maintenance.
- Maintain comprehensive and accurate records of all client interactions, transactions, comments, and complaints.
- Pull permits and handle other necessary paperwork for HVAC projects.
- Coordinate with suppliers and internal teams to ensure availability of materials and manpower.
- Office and Administration Support
- Answering incoming calls, managing email correspondence, and maintaining client database with accuracy and efficiency.
- Collaborating with internal administration team.
