Shine Associates, LLC has been retained to search, identify and recruit a Head of Property Management (‘HPM’) on behalf of our client (‘Company’). This position will be based in the Boston, MA office.

CLIENT DESCRIPTION
Our client is a real estate investment and development company that focuses primarily on industrial and residential markets. Headquartered in Boston, with offices in Atlanta and Philadelphia, the Company searches for unique investment opportunities throughout the East Coast.
HEAD OF PROPERTY MANAGEMENT
This individual will be responsible for the overall management and performance of the Company’s internal to-be-hired property management team. The HPM will be a member of the executive committee and work closely with the team members in developing and implementing best practices across the property management organization.
SPECIFIC RESPONSIBILITIES
- Staff and manage property management personnel for all properties and regions- including regional directors and on-site managers
- Manage the appropriate allocations and “Best fit” personnel for the asset type
- Manage property management P/L
- Staffing/budgeting of facilities personnel - 3rd Party/in-house team; integrates with overall staffing plan
- Responsible for accuracy and timely delivery of all property level reporting:
- monthly financials (review packages, variance explanations, “off-period” accrual adjustments, evictions/bad debt process)
- Quarterly CAPEX approval packages – ensure all appropriate approvals are in process.
- Quarterly asset management reports
- Property Tax – Manage Property Tax appeals across the portfolio. Work with national and local vendors to ensure optimal outcome on appeal process
- Service Contracts – manage process for annual bid and award of all property level service contracts. Ensure compliance with firm policies
- Participate in asset management meeting to ensure compliance with property level business plans across the portfolio
- Manage property on-boarding process
- Work closely with accounting team to ensure timely and efficient bill/invoice payment as well accurate financial reporting (as previously noted). Monitor vendor payments and insurance compliance for onsite vendors,
- Sign off on CAM reconciliations annually
- Manage selective use of 3rd party property management firms – including bidding and contract administration
- Ensure portfolio wide compliance with firm risk management program – including tenant and vendors.
- Participate in insurance renewal process
- Responsible for annual budgeting process; review G&A allocations in accordance with firm policy
QUALIFICATIONS
- 10 years of experience in institutional property management, industrial preferred
- Must have Yardi experience
- National experience, managing multiple locations preferable
- Experience with outsourced property accounting preferable
