Position: Full-time Administrative Office Coordinator
Location: Avon CT
Hours: 40 hours per week, Monday to Friday

Responsibilities: As the Office Coordinator, you will play a crucial role in ensuring the smooth operation of our office functions and coordinating activities between our nursing staff and patients. Your duties will include, but are not limited to:
- Overseeing Schedule of Nurses:
- Manage the daily schedule of our nursing staff, ensuring proper coverage for all patient visits, and addressing any scheduling conflicts or changes as they arise.
- Liaise with nurses and patients to schedule appointments and visits.
- Communication with Staff and Patients:
- Serve as the main point of contact for all staff and patients, promptly addressing their inquiries and concerns.
- Facilitate effective communication between nurses, patients, and other team members to ensure timely and accurate information exchange.
- Recruitment and Onboarding:
- Collaborate with administration to drive the recruitment process, including posting job listings, scheduling and conducting interviews, checking references, and facilitating the onboarding process for new hires.
- Coordinate and conduct introductory training sessions for new nurses, ensuring their smooth integration into the team.
- Employee File Tracking:
- Maintain accurate and up-to-date employee files, including contracts, certifications, licenses, and other relevant documentation.
- Manage mandatory training requirements and ensure compliance with regulatory guidelines.
- Electronic Visit Verification (EVV) Management:
- Oversee the implementation and maintenance of our EVV system, ensuring accurate recording and reporting of patient visits.
- Troubleshoot any issues or technical difficulties that may arise, training staff members as needed.
- Insurance Authorization Management:
- Work closely with insurance providers to obtain proper authorization for services rendered.
- Track and monitor insurance authorizations, ensuring timely renewals and resolving any issues that may arise.
- Office and Nursing Supply Management:
- Monitor and maintain office supplies, ensuring adequate inventory levels at all times.
- Oversee procurement and management of nursing supplies necessary for patient care.
8. Patient Intake
Enter new patient demographics into the electronic health record system
Qualifications:
- High school diploma or equivalent; Bachelor's degree preferred.
- Proven experience in office coordination, preferably in a healthcare or medical setting.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with the ability to interact professionally with staff, patients, and external stakeholders.
- Proficiency in using office software (e.g., MS Office Suite) and ability to learn and navigate electronic record-keeping systems.
- Knowledge of healthcare regulations and insurance authorization processes is a plus.
