Job Description
The Human Resources Assistant provides clerical and administrative support to the HR department and supports HR related functions for the company assigned region.
Job Responsibilities:
Employee Records Management:
- Maintain electronic and physical files of employee records, ensuring proper documentation and accurate naming per department and organizational requirements.
- Assist with ensuring the accurate completion of new hire paperwork, including hiring authorization, payroll forms, and reviewing Form I-9.
- Routinely update employee records on a monthly basis and track documents with expirations and renewals (e.g., licenses, certificates).
Recruitment and Hiring:
- Assist in candidate sourcing, screening, and onboarding processes using our hiring platform.
- Draft job descriptions and maintain processes to attract the best candidates, including producing effective interview questions and training hiring managers.
- Verify all job postings are accurate and still needed on a monthly basis. Ensure hiring managers are consistently looking at candidates and following standards for rejection, interviews and new hire requests.
Compliance and Policy Management:
- Maintain HR records in compliance with applicable legal requirements and ensure up-to-date compliance with state, federal, and company regulations.
- Assist in the creation and maintenance of company policies, maintaining employee confidence and supporting company operations.
General HR Support:
- Respond to employee inquiries by assessing needs and providing services, such as processing employee requests, referring them to the proper company protocol, and reviewing submitted documents.
- Assist with payroll, including responding to payroll questions, ensuring timecards are complete and approved, confirming/auditing coded information, and checking automated system defaults.
- Assist with benefits administration and leaves of absence as needed.
- Perform additional tasks as assigned by management.
- Maintain confidentiality and follow the chain of command.
- Travel to centers as needed.
Skills and Qualifications:
- One year experience in a professional office environment performing functions demonstrating independence, application of analytical skills, multitasking and use of organizational skills or an equivalent combination of education and/or work experience.
- Proficient in the use of the Microsoft Office, particularly with Word and Excel. Proficient with Microsoft Outlook and/or Google email/calendar.
- Excellent communication (written and verbal), organizational and interpersonal skills.
- Ability to work effectively with others as well as independently; detail oriented and analytical.
- Ability to maintain confidentiality.
Preferred Qualifications:
- Utilization of an integrated database system (HRIS or HR platform)
- Associates Degree.
Requirements:
- One-two years of experience in human resources related field (Experience in preferably in healthcare is a plus industry)
- Familiarity with local and state laws and guidelines regarding employment standards
- Department of Justice Background Check
- Satisfactory Completion of Health/Drug Screening
- Proof legal US work eligibility
- Valid CA Class C Driver’s License
