Peddie's Human Resources department is growing, and we are looking for an enthusiastic and adaptable team member to join us in this newly created role! Reporting to the Director of Human Resources, this role offers an exciting opportunity to help build and develop a robust HR function at The Peddie School. You will work to identify and implement opportunities for process improvements that enhance outcomes for the entire school community. As a Human Resources Generalist, you will support the department with all phases of day-to-day HR operations spanning the complete employee lifecycle, such as recruiting, onboarding, off-boarding, compliance with policies and state/federal laws, employee relations, payroll and benefits administration and management of a new Human Resources Information System (HRIS).
Experience in the end-to-end implementation of an HRIS coupled with strong expertise in payroll and benefits administration is highly desirable.
Essential job functions for this role include:
HR Information System:
- Partner with the Director of Human Resources to implement a new Human Resources Information System, including requirements gathering, process design, system configuration, user acceptance testing, training, and go-live support.
- Create and maintain detailed documentation of processes and workflows.
- Manage the daily operations of the HRIS, ensuring data accuracy, upholding system integrity, and security protocols.
- Generate HRIS standard reports and develop custom and ad-hoc reports as required.
- Maintain the confidentiality of HRIS data at all times.
Compliance and Policy Implementation:
- Ensure adherence to HR policies and established standard operating procedures
- Ensure compliance with labor laws and regulations, maintaining accurate employee records and up to date documentation
- Collaborate with the Director of HR to update and maintain the employee handbook, ensuring clarity and compliance with federal, state, and local laws and regulations.
- Oversee the administration of online training programs related to harassment and discrimination
- Effectively interpret FMLA (at the national level), NJFLA/FLI (at the state level) and ADA implications concerning leaves of absence and disabilities
- Process and execute all leave-of-absence requests and disability paperwork, including medical, personal, disability, and FMLA leave, while collecting and submitting necessary documentation.
Recruiting and Onboarding:
- Maintain and update all job descriptions and employee personnel files for the School in cooperation with School leadership and department heads
- Create new job postings in applicant tracking system
- Manage and deliver a seamless onboarding process including communication with new hire, completion of all necessary documents in HRIS, benefits enrollment, process background checks and other compliance requirements
- Administer and enhance the new employee orientation experience.
Payroll and Benefits Administration:
- Expertise in payroll and benefits administration; act as the backup payroll administrator
- Administer employee benefits programs, including health insurance, retirement plans, and leave policies
- Provide support and information to employees regarding benefits options
- Ensure all new hire benefit enrollments and employee benefit changes are completed timely
- Assist with the coordination of annual open enrollment
- Assist with monthly auditing and cross-checking invoices for all benefits companies and vendors to ensure accuracy
- Respond to human resources-related inquiries for both payroll and benefits.
Other Responsibilities:
- Coordinate and perform off-boarding for employees. Create all separation documents for terminating employees and ensure all separation transactions are performed timely; properly record, track, and administer the steps needed to comply with COBRA
- Respond to employment verifications and surveys as needed
- Assist in developing and implementing employee wellness programs that promote the health and well-being of our employees
- Other projects as assigned by the Director of Human Resources
Required Skills and Experience:
- Bachelor's degree required
- Human Resources certification, such as PHR, SPHR, SHRM-CP preferred
- Prior experience in the implementation of an HRIS system is highly desirable
- At least five years of progressive experience in Human Resources
- Solid working knowledge of HR policies, procedures, state and federal and NJ state laws
- Strong data analysis skills, including advanced knowledge of MS Excel
- Excellent planning, documentation, and time management skills
