The function of the Internal Support Specialist is to support the internal operations of the company by aiding other office staff in the preparation of office communications and documents in accordance with standard office procedures.

Essential Duties & Responsibilities:
Regional Office Duties (applies to Internal Support positions outside the Corporate Office):
- Liaison with cleaning company & maintenance companies for any repairs or maintenance needed.
- Prepare and maintain warehouse inventory documents.
- Maintain office supplies.
- Assist Bidding with signing and preparing bid packages to be hand delivered out of regional office.
- Assist Training with proctoring of field advancement exams.
- Assist with coordinating meetings and events for the region.
Internal Support Duties:
1. Process GNGs
2. Manage VP
3. Document Review & Transmission:
a. Proposals
b. Prelim & Budgetary Letters
c. Work Orders
d. Change Orders
e. RFIs
f. Submittals
g. Inspection Reports
h. Warranties
i. Other Misc Docs
4. Project Setups:
a. Review budget against contract.
b. Complete JIS.
c. PDF docs needed for PCM.
5. Active Management:
a. Track Projects through the Active Management Process.
b. Assist execution team with completing Active Management Checklists via the meetings.
6. Change Orders
a. Contract reconciliation (Including billing, time and material, and unit price work).
b. WIP requests.
c. Received change directives.
7. Assist with company events as needed.
8. Other tasks as assigned.
Minimum Qualifications:
- HS Diploma
- 8 years of administrative experience.
- Receptionist and/or customer service experience preferred.
- Technically competent and proficient in Microsoft Word, Excel, and Outlook.
- Notary preferred.
Other requirements:
- Strong written and oral communication skills.
- Strong customer service and interpersonal skills.
- Ability to effectively prioritize and execute tasks.
- Analytical skillset (critical thinking, proficient data, and information analysis, observant and attentive to detail).
Working Conditions:
This position will require some interaction with outside customers, owners, engineers, and contractors, as well as CROM personnel. Opportunities for additional training and advancement will be provided.
