Logistics & Work Environment:
This full-time position at our Pee Dee (Florence) Branch is primarily set in a warehouse environment with varying temperatures, including freezers, and exposure to outdoor weather conditions. It regularly requires sitting, standing, bending, twisting, and lifting objects weighing 30 to 50 pounds. It is labor-intensive and demands a fast pace.
The hours are Monday through Friday, 8:00am - 4:00pm, totaling 37.5 hours per week.
Occasionally, the role requires responding to organizational needs outside of normal working hours.
A Day in the Life:
The Inventory Coordinator Specialist is responsible for managing all aspects of the USDA Program. Optimize inventory management and fulfillment operations by coordinating activities between warehouse and fulfillment teams. Ensure product quality, regulatory compliance (including USDA), and efficient processes. Coordinate inventory operations between warehouse teams to optimize efficiency. Ensure product quality, regulatory compliance, and seamless fulfillment processes. Collaborate with cross-functional teams to drive continuous improvement and meet USDA program requirements.
- Proficiently utilizes USDA programs and guidelines to manage FIFO (First In, First Out) and FEFO (First Expired, First Out) inventory, effectively distributing commodities and nutritional food items.
- Accurately receives, inspects, and processes incoming shipments, verifying quantities and conditions of goods.
- Implements and maintains inventory levels based on FIFO and FEFO principles across all product categories, optimizing rotation and minimizing waste.
- Conducts cyclical counts to verify accurate inventory levels and promptly reconciles discrepancies across branch locations.
- Enforces and adheres to procedures to maintain data integrity within the ERP and WMS platforms for effective inventory management.
- Provides actionable Key Performance Objectives (KPOs) through decision-making in distribution management, fostering cross-functional collaboration for equitable distribution.
- Manages monthly inventory processes to ensure compliance with regulatory standards.
- Demonstrates familiarity with ERP and WMS systems to adapt to evolving Harvest Hope Food Bank business needs.
- Verifies product receipts and ensures adherence to food safety standards.
- Effectively communicates and collaborates with food bank stakeholders to improve efficiency.
- Maintains accurate documentation to track compliance with safety standards and regulatory requirements by filing and storing all items in the ERP platform.
- Leads initiatives to improve quality control processes through data analysis and feedback.
- Provides training and guidance to warehouse staff on quality assurance procedures.
- Researches CFRs (Code of Federal Regulations) to ensure ongoing regulatory compliance.
- Conducts thorough inspections of incoming products to verify adherence to quality standards, promptly addressing discrepancies to maintain product integrity and safety.
- Implements rigorous quality checks during transfer orders to ensure product accuracy and condition, minimizing errors and preventing loss or damage.
- Regularly audits and maintains location records in the inventory management system to ensure data accuracy and optimize warehouse layout.
- Prepares outgoing shipments by processing orders, packing materials, and loading merchandise.
- Performs other duties as assigned by leadership.
To Qualify for this Position, you must have:
- Associate degree in management or related field, OR 2+ years of equivalent experience.
- 2+ years inventory, distribution, or warehouse experience, preferably within the food industry
- Strong computing skills especially in Excel and experience with ERP and inventory systems.
- High level communication skills, both verbal and written, with colleagues and the public.
- Experience working with multiple departments within an organization, multi-department program management experience a plus.
- Excellent time management skills with a proven ability to meet deadlines.
- Analytical skills and the ability to generate reports as needed.
