About the Job
The Labor Coordinator is responsible for finding, scheduling and coordinating staff for various events in the entertainment industry such as concerts and tours, film, TV, and theater production, sporting events, trade shows, and more. The Labor Coordinator provides supervisory support, and ensures that all related systems are up to date for accurate payroll processing, reporting, client billing, etc. The Labor Coordinator may provide on-site supervision at events.
Labor Coordinators will typically specialize in one or more technical disciplines and/or event types. The size and complexity of assigned projects may vary based on experience.
Essential functions
- Confirm the staffing needs for each assigned event, and source and schedule employees based on client preferences and employee qualifications.
- Discuss wages within approved budget and make recommendations for final rates for prospective employees.
- Submit new employees for onboarding and ensure all new hire paperwork is completed timely and accurately.
- Confirm and submit crew requests to unions as necessary.
- Resolve staffing issues and shortages, e.g. due to call-outs and resignations.
- Ensure labor management system (Lasso) is updated with employee availability, contact information, qualifications, and schedules.
- Provide worker confirmation lists and other documents and information needed to ensure a smooth event.
- Collect, validate and complete timesheets, and submit for payroll processing weekly.
- Collect, validate and submit expense reports for crew to Accounts Payable for processing.
- Work with onsite supervisors/crew chiefs to respond to any workplace accident or injury quickly and efficiently, and work with Human Resources to ensure a workers compensation claim is filed and communicated.
- Collect all required safety and work certificates and ensure they are accurately recorded in all systems.
- Run monthly payroll and time and attendance reports for union payroll to determine monthly benefit contribution amounts.
- Submit requests for job number creation and contracts for new clients.
- Submit any necessary check requests to Accounts Payable.
- Provide all necessary information to Accounts Receivable teams for invoices to be created and sent to clients.
- Book travel for crew as necessary (flights, hotel, car rentals).
- Business Travel Account reconciliation
- May assist Labor Managers and the Director, Labor in the preparation of quotes and estimates.
- Ensure a high level of confidentiality at all times.
Knowledge, Skills & Abilities
- Ability to stay up to date with state and federal employment law, as well as company policies and procedures, and ensure compliance.
- Strong organizational skills.
- Excellent customer service and relationship management skills.
- Strong reporting and analytics skills.
- Detail oriented.
- Proficient in full Microsoft Office suite (Outlook, Excel, Word, SharePoint); Ability to learn proprietary software.
- Working knowledge of assigned technical discipline.
Travel required
- Occasional travel to event sites or PRG locations required
- Valid Drivers License required
Required education and experience
- High School or equivalent diploma.
- 2+ years experience in a customer service or administrative role, experience from the entertainment and/or staffing industries strongly preferred.
- Strong proficiency in Microsoft Office Excel and Outlook.
- Working knowledge of Lasso and Salesforce preferred.
