Legal Operation Specialists at Galan Law Firm, PLLC

We're looking for a legal support specialist to work alongside attorneys and achieve our clients’ goals. Our ideal candidate will have experience in case management as a paralegal or legal assistant and is skilled in drafting documents, managing case files, and conducting legal research. We need someone who is an effective communicator in both, Spanish and English, incredibly organized, and self-motivated. Case & Deadline Management:

• Oversee the filing process for immigration cases, ensuring that all documentation is submitted on time to USCIS, immigration courts, or other agencies.
• Monitor key deadlines for applications, petitions, and hearings, and ensure all team members are aware of upcoming deadlines.
• Collaborate with attorneys and legal assistants to prioritize caseloads, especially in time-sensitive cases such as deportation proceedings or asylum applications.

Project Implementation:

• Work closely with the Managing Attorney to design and implement new initiatives, including process improvements for managing client cases involving deportation, visa petitions, and family-based immigration.
• Assist in rolling out new case management software, technology tools, and procedures to enhance the efficiency of the firm’s operations.

Staff Training & Development:

• Coordinate and lead training sessions for legal and administrative staff on immigration law processes, case management, and any changes in federal or state regulations affecting clients.
• Provide ongoing support to staff, ensuring they understand and follow procedures for filing petitions, responding to Requests for Evidence (RFEs), and other immigration-related filings.

Process Improvement & Reporting:

• Analyze existing workflows for case processing and client intake, recommending improvements that enhance productivity and reduce delays.
• Generate reports on case progress, production goals, and deadlines for the Managing Attorney, ensuring the firm is meeting its operational targets.

• Experience working in an immigration law firm or in a legal environment focused on immigration is highly preferred.
• Strong understanding of the various stages of immigration processes, including adjustment of status, naturalization, asylum, humanitarian, petitions, and deportation defense.
• Familiarity with immigration law and case preparation requirements.
• Bachelor’s degree or equivalent experience in legal operations, project management, or a related field preferred but not required.
• Proficiency with legal case management software (e.g., Mycase, Lawmatics, Monday, or similar) and project management tools.
