Job Details
We're looking for a highly experienced Litigation Assistant or Legal Secretary to support the Managing Partner of our firm. While paralegal certification is not required, we need someone who can manage a high-volume workload efficiently. The ideal candidate is proactive, organized, and skilled in handling a wide range of administrative and legal tasks in a fast-paced environment. This is a hybrid role, requiring only two days per week in the office.
Key Responsibilities:
Manage calendars for multiple attorneys, including scheduling court hearings, depositions, and client meetings
Ensure case deadlines are met
Prepare and file legal documents with State and Federal courts, as well as ADR proceedings
Draft and finalize pleadings, discovery documents, and correspondence (e.g., notice of rulings, deposition notices)
Organize and prepare trial documents
Input and maintain accurate data in case management software (Prolaw)
Generate TOA and TOC, with strong formatting skills using Styles
Skills and Qualifications:
Excellent written and verbal communication skills
Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
Typing speed of at least 50 WPM
Proficient in Microsoft Office (Word, Excel, Outlook)
Familiarity with legal software such as Prolaw, Adobe Acrobat Pro, Ecopy, LexisNexis (preferred but not required)
Strong knowledge of State and Federal court rules
Keen attention to detail and accuracy
Strong organizational and time management abilities
Dependable, with strong problem-solving skills
Ability to maintain client confidentiality
A team player with a collaborative mindset
Education/Experience:
Some college education required
2-5 years of experience as a legal assistant or secretary in a law firm
