Job DescriptionWe are seeking a dedicated and detail-oriented Medical Administrative Support professional to join our team. The ideal candidate will provide essential administrative and clerical support within a healthcare setting, ensuring the efficient management of medical records, office operations, and patient information. This role requires familiarity with medical terminology, proficiency in Microsoft applications, and the ability to work effectively within diverse organizations.
Medical Records Management:
- Review medical records using agency-specific work orders to ensure completeness, including verifying the presence of appropriate identifying information, signatures, and legibility of all documents before forwarding to Medical Records Technicians and Reviewing Medical Officer (RMO).
- Maintain and utilize a medical records database for tracking missing medical information.
- Use tracking systems to check off medical exam components as received, ensuring accuracy for end-of-month reviews by Team Leads.
- Operate computer systems to process, store, and retrieve health information.
Coordination and Communication:
- Coordinate moderately complex activities within the assigned team to ensure service delivery meets or exceeds client expectations.
- Communicate with Private Provider case coordinators and health unit staff to request missing medical documentation from exams.
Administrative and Clerical Support:
- Provide administrative and clerical support to FOHS staff, including both federal and contractor employees.
- Manage office files for assigned work, ensuring information is readily available for retrieval.
- Type a variety of documents, including memorandums, letters, reports, and other materials as requested.
- Coordinate and implement a range of office duties, such as secretarial and reception tasks, clerical work, office equipment management, and operations.
Operational Support:
- Assist with conference and meeting planning, travel support, information and data processing, mail distribution, photocopying, faxing, records management, and telecommunications management.
- Oversee day-to-day operations of the smoking cessation program, including organizing phone interviewers, ordering and mailing supplies, performing phone interviews, tracking quit rate statistics, and renewing agreements.
- Assist OHC with obtaining materials for education programs.
Skills and Competencies:
- Strong organizational skills with a keen attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Familiarity with medical terminology and records management.
- Proficiency in Microsoft applications, including Word and Excel.
- Ability to work independently and collaboratively within a team.
- One (1) year of experience in medical administrative support in a physician’s office, clinic, or other healthcare facility.
- Experience working with medical records and a strong understanding of medical terminology, science, and technology terms.
- Experience in effectively dealing with organizations of various sizes and with individuals from diverse backgrounds and levels of authority.
- Proficiency in Microsoft applications, basic computer operations, and website use.

Compensation - Min: $60,000| Max: $80,000
Pay range is based on several factors and may vary in addition to a full range of medical, financial, and other benefits. The final salary and offer will be determined by the applicant’s background, experience, skills, internal equity, and alignment with geographical market data.
