Position Opening Mid-July 2024 for a Front Desk Medical Secretary.
Practice Details:
- The clinic day is in different sites/locations based on the day of the week.
- See office locations below.
- Clinic hours are: 8:30am - 6:00 pm.
Part-time and Full Medical Secretary and Front Desk Roles:
- The full time position requires: Tu-Sa coverage and ability to travel to ALL office locations except for Hauppauge; and involves working some days remotely.
- The part time position requires: Thursday, Friday, Saturday coverage for the Jamaica Estates 2x/month, Downtown Brooklyn 2x/month, Midtown-58th St. Manhattan 2x/month, Sherman Ave Manhattan 1x/month, Staten Island2x/month, and Bronx 2x/month office locations.
- The part time position allows for a very flexible schedule M/Tu/W with ability to add work days.

Staff Languages:
- Fluency in English (Required).
- Fluency in Spanish (Preferred).
- Fluency in Mandarin (Preferred).
Responsibilities/Requirements:
- Meet clinic hours consistently with arriving 15minutes before start time: 845 am - 6 pm.
- Have the ability to multitask and work efficiently in a fast-paced environment.
- Have proficiency in email and electronic medical record systems.
- Be a positive influence and a team player.
- Have high energy and a positive attitude.
- Have excellent communication and interpersonal skills.
- Must be Professional and Maintain a Professional Appearance Daily.
- Office Dress code is formal or clinical scrubs.
- Be able to work hand-in-hand with remote back office teams. This requires advanced skills with using G-suite and remote work technologies, and flexibility in daily work flows and tasks.
- Daily scanning, organizing, and sorting mail.
- Greet patients and visitors, check them in and out, and ensure they are directed to the correct healthcare provider.
- Manage patient records using our electronic medical record system.
- Manage patient referrals and coordinate care with other healthcare providers.
- Scheduling future/follow-up appointments based on patient needs.
- Checking/Correcting insurance information.
- Working with the back office team for insurance and billing questions.
- Calling patients who have missed appointments to reschedule.
- Completing patient forms using physician reports.
- Ensure medical records/demographics are complete for patients prior to their visits.
- Obtain insurance information when missing and help back off team with patient communication.
- Maintaining a clean and positive work environment.
