Responsibilities
Typical Physical Demands: Work requires physical hand dexterity and full range of motion for computer and phone use, type 60 WPM, operate telephone, copier, fax, and scanner as necessary. Requires sitting for long periods of time. Requires ability to work under stress or emergency situations with high concentration and energy level. Ability to drive (valid driver’s license and insurance, clean MVR) to visit practice locations. Ability to work 40 – 60 hours per week as needed for successful practice administration.
Typical Working Conditions: Work is performed in an office environment. Involves contact with patients, public, vendors and practice physicians.
Duties consist of:
- Exercise a high degree of initiative, judgment, discretion, and decision-making while conducting all aspects of physician support to achieve organizational objectives.
- Recommends, develops, implements improvements for the practice.
- Informs CEO about current trends, problems, and medical activities to facilitate policy making.
- Establish and secure approval and provide oversight for clinic operating policies and procedures.
- Participates in and coordinates physician recruitment for both cardiac and vascular surgeons.
- Participate in and coordinate mid-level recruitment.
- Provide direct supervision of CTVSA clinic managers.
- Oversees efforts for recruitment, development, performance evaluation of employees.
- Oversees business and financial affairs of the CTVSA clinics.
- Resolves any medical-administrative problems and keeps lines of communication open with staff to ensure high employee morale and a professional, healthful clinic atmosphere.
- Responsible for oversight of billing and collection of passive income.
- Review quarterly call schedules prior to publishing.
- Provide support to clinic managers for oversite for recall process and utilization of vascular lab technicians.
- Submit license application for new locations and maintain current licenses.
- Submit perfusion staff utilization report to CEO monthly
- Submit OBL utilization report to CEO monthly
- Provide support to clinic staff and managers for patient related issues/complaints
- Provide support to Director of Revenue Cycle for workflow changes related to billing and collections by clinic staff
- Communication with GPO representative for savings opportunities
- File incident claim reports with malpractice carrier
- Maintain information in a confidential manner
- Identifies and reports compliance issues or concerns to Compliance Officer for resolution.
- Confirm completed OHSA training for the office locations
- Confirm Annual Privacy and Security training for all office locations
- Maintain knowledge of compliance requirements in accordance with job related duties.
- Perform other duties as assigned.
Qualifications
Performance Requirements: Ability to read, understand and follow oral and written instruction. Ability to speak clearly and concisely with a pleasant telephone voice. Ability to handle stressful situations. Ability to establish and maintain effective working relationships with the patient and patient family members, employees and the public.
Education: Bachelor’s Degree preferred, MBA highly preferred.
Experience:
- Ten years of practice management experience.
- Cardiac, vascular and/or cardiology experience highly desired as a practice manager
- While practice manager, have a staff of 50+ and 20 surgeons under management
- Will live/relocate to Jacksonville
