Position Summary:
The Medical Records Coordinator maintains customer records containing all items required by State and Federal Regulations. He/she provides records information for summaries and insurance reports, as may be required.
Responsibilities/Accountabilities:
1. Maintains accurate order of open charts;
2.Types physician orders/transcriptions as needed;
3. Prepares closed charts;
4. Assumes responsibility for diagnostic admission and discharge coding index;
5. Ensures that all Admission Orders are signed by the attending physician in a timely manner; 6. Ensures all Medicare Certifications and Re-certifications are signed in a timely manner;
7. Notifies MDs in reference to compliance of customer visits and progress notes;
8. Communicates with Pharmacy in reference to additions/deletions of customer MARS, POFs;
9. Assists nursing staff with monthly editing;
10. Tracks yearly CBC and UAs;
11. Initiates yearly flu/pneumonia vaccine program maintains accurate record keeping;
13. Answers telephone inquiries and may answer correspondence;
14. Performs miscellaneous duties pertaining to medical records;
15. Writes, types and distributes advance notices for admissions, re-admissions, room changes, any status changes, discharges, etc. to appropriate center, staff;
16. Obtains all appropriate departmental and physicians' signature on discharge charts within 30 days of discharge;
17. Assists Director of Nursing Services with any other duties that may be assigned:
18. Puts Customers Service First: Ensures that customers and families receive the highest of quality service in a caring and compassionate atmosphere which recognizes the individuals' needs and rights;
20. Performs other duties as requested.
21. Manages all central supply, orders and stock.
Specific Educational/Vocational Requirements:
1. The Medical Records coordinator must have a High school degree.
2. Experience with coding and abstracting is required and basic courses or experience pertaining to the position is preferred.
3. Must be able to read, write and understand the English language
Job Skills:
1. Must have knowledge of medical and anatomical terminology.
2. Must have knowledge of coding and filing systems.
3. Must have knowledge of the rules or grammar, spelling, and punctuation.
4. Must be accurate and detail orientated.
5. Ability to positively interact with personnel, customers, family members, visitors,
government agencies/personnel and the general public.
