STATEMENT OF PURPOSE
The Medical Staff Office Assistant performs specific duties associated under the general direction of the Medical Staff Office Manger with the following areas of responsibility: (1) Provides assistance for Medical Committees and Departments (2) Provides assistance for general office responsibilities and the coordination of all Medical Staff requirements (3) Computer Responsibilities and (4) provides assistance to entire Medical Staff Team.
JOB DUTIES/RESPONSIBILITIES
Provide assistance for Medical Staff Office and Committee Meetings by:
- Prepare, attend, and record Minutes for Departments and Committees as assigned.
- Notify Medical Staff Team of any items needing follow-up within one week of the meeting, including letters for follow-up and assistance to the Department Chairman or Committee Chairman.
- Accurately transcribe Minutes, obtain appropriate signature and present to Medical Staff Manager with a goal turnaround time of five (5) days or sooner if possible.
- Anticipate discussions at meetings and have material prepared.
- Performs other duties as assigned.
Provide assistance to Medical Staff Team with general office responsibilities:
- Open and sort mail; answer phone, take messages. Handle calls (when possible) when Med. Staff members are out of the office. All work to be performed in a timely and efficient manner.
- Assist Medical Staff Team with mailing projects to physicians (notices, reminders, newsletters, inquiries, invitations, announcements) upon request as needed.
- Files (as appropriate) in physician files and/or minute books.
- Copies agendas and/or other material upon request.
- Prepare notices for physician coverage as needed to provide timely information to appropriate departments and nursing units. Post summary of coverage in designated areas.
- Assist in various projects and special events.
- Cover meetings and Medical Staff Office when Medical Staff Coordinator is not available (as needed).
- Orders office supplies.
- Performs various clerical duties as assigned.
Responsible for maintaining electronic data by:
- Maintain computer records for Medical Staff and Allied Health Professional members on PC. Update address information, licensure, malpractice and any other information maintained in files. Address changes to be updated weekly; other changes are to be updated as received, but at least monthly.
- Assists in maintaining MDStaff Credentialing software in a timely manner.
- Provides labels, reports, etc. Time frame to be evaluated and set for each individual request. Report on comprehensive information (board certification, etc.) is printed and maintained twice each year.
Provides assistance to Medical Staff Team with credentialing Physician and Allied Health Professionals:
- Assist with credentialing and reappointments of Medical Staff.
- Cross-cover credentialing processing with other Medical Staff Office personnel.
Performs other duties as assigned.
EDUCATION/EXPERIENCE
- High School Diploma or GED Equivalent required
Prior healthcare experience, preferably with credentialing
Strong organizational skills.
Effective oral and written communication skills including ability to take and transcribe minutes accurately.
Ability to convey positive image to Medical Staff and Administration representing the Medical Staff Office.
Exhibits good judgment, flexibility, and Confidentiality.
Must have excellent computer skills including Microsoft Word, Excel, Access, Power Point and experience maintaining a database.
Must be dependable.
