Job Description: Fleet and Chauffeur Supervisor
You will be responsible for overseeing, managing, and coordinating the daily operations of our fleet and chauffeurs while ensuring compliance with all DOT standards. Your role will encompass both fleet management and chauffeur supervision.
Key Responsibilities and Accountabilities
The following is not intended to be an exhaustive list of the essential functions of the Fleet and Chauffeur Supervisor position but rather a general description of some of the requirements necessary to carry out the duties and responsibilities of this position. The Fleet and Chauffeur Supervisor must be able to perform the following tasks, among others:
Chauffeur Responsibilities:
- Recruit, train, and evaluate chauffeurs to ensure compliance with driving laws.
- Collaborate with drivers, staff, and management to conduct meetings and resolve any operational issues.
- Maintain financial control by managing expenses and adhering to the budget.
- Maintain records related to personnel, expenditures, and government regulations pertaining to driving.
- Respond to and dispatch service personnel to emergency situations during and after regular working hours as needed.
- Foster positive and professional relationships with chauffeurs, addressing their needs and collaborating with other departments to solve any challenges.
- Stay updated on the latest technologies to improve company efficiency.
- Monitor driver hours and mileage in coordination with Dispatchers to maximize productivity within allotted hours.
Fleet Responsibilities:
- Manage the operation and maintenance of the organization's motor vehicles.
- Ensure compliance with DOT regulations and handle related reporting for the fleet.
- Develop and implement preventive maintenance programs for vehicles and equipment.
- Cultivate and maintain relationships with outside vendors and service providers.
- Provide input on strategic decisions affecting the fleet management function.
- Resolve escalated issues arising from operations that require coordination with other departments.
- Assist the Ops Manager in developing policies and regulations.
- Coordinate the purchase of new fleet assets.
- Oversee the sale of surplus fleet assets, ensuring compliance with all relevant regulations and procedures.
- Provide input on the annual performance evaluation of assigned employees.
- Maintain vehicle registration and licensing, ensuring they are always up to date.
- Keep meticulous records of vehicle service and inspections to comply with manufacturers' servicing schedules or leasing companies' maintenance requirements.
- Maintain strong relationships with insurance companies and ensure timely handling of claims and communications with insurers.
Knowledge, Skills, and Abilities:
- Profound knowledge of fleet repair facility management principles and practices, safety precautions for large-scale operations, business practices applicable to fleet management, budgeting, accounting principles, and preventive maintenance inspection methods.
- In-depth understanding of current and proposed state, local, and federal laws, regulations, rules, and standards pertaining to vehicle maintenance, inspection, and specifications.
- Proficiency in managing multiple departments, including separate physical locations and subordinate supervisory personnel.
- Skill in researching and preparing technical specifications for vehicles and equipment, as well as analyzing data and generating reports on fleet equipment.
- Effective communication skills, both written and oral, with an emphasis on sensitivity, tact, and diplomacy when needed.
- Utilize electronic record-keeping and fleet management systems for asset management and statistical data monitoring/reporting.
- Ability to identify and address employee and customer concerns promptly and appropriately.
- Establish and maintain effective working relationships, with a strong commitment to customer service in all aspects of work.
