About the Job
BASIC PURPOSE
· Performsavarietyofadministrativeprofessionaldutiestofacilitateandsupporttheactivities andfunctionsoftheMobilityandTransportationDepartments.
· Reports to the Director of Transportation as well as assists and takesdirection on special tasks and other assigned duties by the Operations Administrator(O.A.).
ESSENTIAL FUNCTIONS
· Answersthephone,providesrelevantcompanyinformation,andreceivesinformation concerningbusinessmattersrelatedto MobilityorTransportation.
· Assists,facilitates,passesalongmessages,answersquestions,processesrequests/inquiries, and helps with fact-finding for PSTA Bus Operators, PSTA Supervisors, and SEIUUnionReps.
· Assists the Mobility Team with mailing out applications for PSTA and TD; mails outeligibilitylettersforPSTAAccessCustomers.
· FulfillspublicrecordrequestdocumentationasnotifiedbyPSTA’sExecutiveDepartment.
· Performstypingandtranscriptionduties,preparesroutinecorrespondence,distributes/processes incoming and outgoingmail.
· PreparesreportsfortheMobilityandTransportationDepartmentsasneeded.
· AssiststheMobilityDepartmentwithscanningandfilingincomingapplicationsforTransportationDisadvantaged(TD),TD Late Shift,andPSTAAccess programs.
· Establishesandmaintainsavarietyoffiles,logs,andrecords.Reproducesdocumentsforthe MobilityandTransportationDepartmentsasneeded.
· Assists with driver paddles reproduction (and distribution) during run bid implementation.
· Uses the Access Database in order to update Bus Operator information and to reproducetheBus OperatorSeniorityRoster.
· MaintainsBusOperatorandTransportationSupervisorperformancefilesandcreates filesfornewemployees.
· Maintains“offday” andmeetingroomreservationcalendarsforOperationsteam.
· Schedulesandsetsupmeetingsandconferences(e.g.Zoom,MSTeams,WebEx, telephonic)andotherconferencemeetings asneeded/requested.
· ResponsiblefortheupkeepofbulletinboardsintheOperators,Supervisors,andAdministrativeareas.
· Maintainsinventoryofincident/accidentreports,SupervisorReports,Cancellationforms, Request-for-Leave forms, From-the-Driver’s-Seat-Cards, and Pre-Trip forms aswell asotherdocumentsinthedrivers’area.
· Maintainsofficesupplyinventoryanddistributioninaccordancewithestablished procedures;maintainsand adheresto office supplybudget.
· Assists the Operations Administrator (or O.A.) with the processing of Bus Operator andTransportation Supervisor uniforms, including uniform distribution as directed by theO.A.
· AssiststheO.A.with administeringthesecurity/employeeIDcardprogramasnecessary.
· Preparesmeetingminutes (onoccasion)asrequestedbyaDirectororhigher.
· UsesFleetnettoresearchandhelpdistributeBusOperatorcommendationsand complaints.
· EntersdataandupdatestheOperatorTrainingTrackerandOperatorPerformanceLog.
· MaintainsBusOperatormailboxesintheTransportationDepartmentmailroomanddistributes mailbox stuffers as needed.
· Assists the Operations Data Analyst and O.A. in the collection of data metrics for thePSTAScore Cardfor theMobilityandTransportation Departments.
· PerformsspecialprojectsandotherspecialassignmentsthatmayassisttheDirectorsof MobilityandTransportationorhigher.
SUPERVISORY RESPONSIBILITIES
- This position has no supervisory responsibilities.
MINIMUM QUALIFICATIONS
- Education: HighSchooldiplomaorGEDwithsupplementalcoursesortraininginadministrativeprofessional principals,businessadministrationorotherrelatedfield.
· Experience: Three(3)years’experienceperformingavarietyofadministrativeprofessionaltypeduties.
KNOWLEDGE, SKILLS AND ABILITIES
· Knowledge of: Office Management and administrative procedures; rules of grammar,spelling,punctuation,andcomposition;establishmentandmaintenanceofrecordkeepingsystemsandprocedures;personalcomputers,effectivetelephonetechniques.
· Skilled in: Typing at the rate of 55 net words per minute; use of personal computers with experience inMicrosoftOfficesoftware.
- Abilities: Establishandmaintaineffectiveworkingrelationshipswithalllevelsofemployees; maintain confidential information; prioritize work based on the ongoingdemandsofthedepartment;prepareclear,concise,andcompletereportsandcorrespondence;performroutineclericalduties;exerciseinitiativeandworkindependently; operate a variety of modern office equipment and machines.Must beabletomeetdeadlines.
