About the Job
DescriptionMAJOR DUTIES AND RESPONSIBILITIES:
- Plan event logistics with client including floorplan, set-up, vendor logistics, audio visual needs and event timeline.
- Act as the on-site contact and coordinator during events.
- Maintain schedule and fulfill training requirements for Event Assistants.
- Oversee Aquarium staff during events. Provide direction and coaching as necessary.
- Communicate and maintain relationships with internal departments, caterers and other vendors.
- Up sell in-house enhancements including linens, lighting, animal encounters.
- Submit weekly/monthly reports to the General Manager on event revenues.
- Work a variety of wedding shows including Newport Aquarium with Social Sales Manager.
- Maintain internal event calendar and hold a weekly event meeting with Operations Team.
- Act as the owner of the event spaces (Riverside Room and Reef Room) and work with internal partners to ensure the spaces are maintained appropriately.
- Manage ballroom set-up and organization of storage areas, including event supply inventory.
- Perform Aquarium tours for groups and other interested guests when Sales Managers are not available.
- Must be willing to learn, operate, program, and troubleshoot Audio/Visual equipment and interactive equipment.
- Handle comments, complaints, and suggestions regarding policy and procedure from guests and team members.
- Support Sales Department with daily activities and additional projects as assigned by the General Sales Manager.
- Perform Herschend Enterprise's Core Values and Newport Aquarium Guest Service Accountabilities, Policies and Procedures, and Safety Protocols.
QUALIFICATIONS:
- Minimum of high school diploma and 2-3 years of event coordination experience.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Must have the ability to read, write and speak the English language (knowledge of other languages is a plus).
- Must be able to think clearly and react quickly and calmly to changes and/or emergency situations.
- Must be detail-oriented and proficient in time management to effectively manage all job responsibilities.
- Must handle confidential information responsibly.
- Must have the ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Willingness to take direction and coaching from experienced team members to improve your skills and enhance the guest experience.
- Demonstrated ability to work as part of a team in a constantly changing environment as well as individually, with a minimum of supervision.
- Must have good interpersonal skills and willingness to collaborate with multiple departments.
- Ability to work a flexible schedule that will include weekends, evenings and/or holidays.
- Ability to perform in a fast-paced job and remain courteous, friendly and helpful to guests and team members.
REQUIREMENTS:
- Successful completion of pre-employment background check
- No history of allergy related to animals or plants, which might interfere with ability to work
- Ability to remain on feet for long periods of time, climb stairs, bend and stoop
- Physical strength, including the ability to lift up to 25 pounds

- Starting pay range: $17.00 - $20.00 per hour
