POSITION SUMMARY:
Schedules surgical procedures with physicians, physician's office and other hospital staff utilizing hospital computer scheduling system. Maintains data bases and assists, supervises and educates other user on scheduling system.

EXPERIENCE:

Must have Microsoft Office Tools experience.
Preferred:
Previous computer experience.
Medical secretarial experience.
REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES:

Must be able to communicate effectively in English.
•
Strong organizational and interpersonal skills and ability to deal with all levels within the organization and community.
•
Working knowledge of medical terminology.
•
Successful completion of annual job specific competencies and skill verification tools required.
MAJOR RESPONSIBILITES:
•
Takes reservations for all surgeries utilizing necessary equipment and systems in accordance with hospital policy and procedures and scheduling guidelines. Takes reservations for PAT pre op program.
•
Arranges daily surgery schedule, accommodating physician’s time needs and ensuring a smooth and efficient flow and progression of scheduled cases. Continually audits schedule for workability and correct time calculations Maintains block allocations and scheduling of open times.
•
Maintains and updates catalog of estimates times for each surgeon and procedure. Maintains knowledge of frequently utilized equipment to ensure that equipment is not double scheduled and doctor’s preferences are considered. Conflict checks all resource requirements.

Efficiently coordinates scheduling of procedures with other hospital departments.
•
Notifies Operational Supervisor or Nurse Manager schedule coordinator when special or out of stock equipment or supplies are requested by surgeon.
•
Generates copy of tentative schedules daily for the next seven days along with pre-surgical comments. On a weekly basis, generates report of an additional ten to fourteen day schedules.
•
Maintains appropriate system backups per established procedures and department policy.
•
Prepares final copy of next-day OR Schedule.
