About the Job
Established Property Management company seeking an Office Administrator with bookkeeping experience to join the team. Position will work directly with the Controller in handling A/P, A/R, admin support, and will assist with leasing, contracts, and insurance requests.
Small office, six employees on-site. Company manages 12+ properties (residential and commercial) on the South Shore. Great longevity with all employees.
Duties include:
Must be comfortable with Excel. Advance skills not needed. Timberline experience would be great but not required.
Ideal candidate has super attention to detail, doesn't get overwhelmed easily, is very organized and able to multitask but stay focused. This is a strong team environment and everyone helps out as needed.
Hours: M-F, 9am-5pm, 1/2 hour lunch - approx 30-35 hrs weekly
Temp-to-hire opportunity
Temp and perm: $24+, DOE
*Benefits include 401k, health, dental, holidays, 5 sick days (accrued), 2 weeks vacation (accrued)

Duties include:
- Reception: answer incoming calls, direct appropriately. Phones can be busy at times, all employees help out. Must have a calm, even-keeled demeanor to respond to callers.
- A/P: issue and print PO's for subcontractor work, coding invoices, get employee approval on all invoices, prepare bi-weekly check run, printing and matching invoices to checks, prep checks for signatures
- A/R: code checks daily, enter checks/deposits into database, scan checks, complete deposits
- Office support: receive, open, sort and deliver mail; order office supplies; create spreadsheets as necessary; utilize Word to prepare contracts, leases, memos to tenants
- Residential leases: track vacant units for rent; create residential leases for tenants; create renewal letters; make all necessary updates regarding tenants in Timberline
- Insurance: track subcontractor insurance certificates; contact for needed certificates; track expiring
