- Utilize ERP system for Labor tracing and data entry
- Perform HR functions to include distribution of company announcements, posting or regulations etc.
- Collect and manage date for Sales Force and Pardot
- Process invoicing for parts sales
- Code Accounts payable invoices
- Process Customer PO's/SO's
- Follow up on Vendor PO's
- Track all office supplies and prepare requisition for Materials Manager
- Book travel for some customers
- Organize luncheons for customers
- Greet visitors and callers
- Resolve information requests
- Maintain schedule for all conference rooms
- Distribute and process all incoming and outgoing mail
- 2+ Years' experience in an office environment
- High School Diploma or Equivalent
- Excellent communication skills
- Ability to work independently
- Ability to prioritize multiple tasks
- Excellent organization skills
- Purchasing experience preferred but not required
- Microsoft Word, Excel and any ERP/MRP experience required
RESPONSIBILITIES
- Answer, screen, transfer incoming phone calls. Distribute messages as appropriate.
- Perform light accounting duties, e.g., customer billing, coding of A/P invoices, data entry.
- Proactively bring any apparent discrepancies or inconsistencies to Controller for review.
- Contact customers regarding past due invoicing.
- Organize, manage, event planning, catering.
- Guest meetings, in-house.
- Employee functions (lunches, holiday party, etc.).
- Receive, sort, distribute incoming mail and packages.
- Manage vending machines.
- Includes shopping for snacks, filling machines, managing money.
- Greet guests and direct appropriately from position at front desk.
- 3 – 5 years' administrative experience.
- Proficiency with MS Office Suite.
- Excel – basic understanding of formulae.
- Excel – VLOOKUP experience preferred.
- Basic math skills.
- Manufacturing work environment experience.
- Strong organizational skills.
- Attention to detail.
- Excellent interpersonal and communication skills (both oral & written).
- Accounting or bookkeeping experience.
