Essential Functions and Primary Duties
- Greet callers and visitors, assess needs and provide solutions
- Answer calls and emails efficiently and courteously, providing requested information or forwarding to team members
- Handle expense reporting and travel arrangements for executives as requested
- Prudently manage confidential and critical information
- Read, prioritize and distribute all forms of incoming correspondence
- File and retrieve business documents, records, and reports
- Handle all incoming and outcoming mail
- Prepare copies of material as needed
- Analyze and advise management on use and capacity of office space
- Schedule appointments and conference rooms; assist and organize office events, catering, etc.
- Provide information about establishment such as location of departments, offices, employees, and services
- Coordinate with HR, IT, and various departments to ensure new hires are successfully onboarded, including seating/desk arrangements, equipment, supplies, etc.
- Travel, as necessary
Minimum Qualifications
- 3 years relevant work experience in an office environment and preferably performing as an administrative assistant
- Proficient use of applicable technology
- Advanced computer skills in Word, Excel, PowerPoint, and Outlook
- Ability to manage multiple projects and deliverables simultaneously
- Excellent written/verbal communication skills and use of grammar
- Excellent organizational skills and attention to detail
- Ability to adapt to a changing environment
- Ability to follow standard procedures
- Ability to work cooperatively with others
- Ability to build relationships and trust with internal and external clients and other key stakeholders
