Job Description
We are seeking an enthusiastic Office Assistant to join our team. The ideal candidate will perform a variety of clerical, secretarial, and general office duties including those of a confidential nature. The Office Assistant will manage facility needs, maintain records and files, assist with travel and training paperwork, and provide general support with various clerical activities.
Responsibilities
+ Assist and coordinate special projects, meetings, and special events.
+ Maintain records and files.
+ Manage facility needs.
+ Manage calendars for conference rooms.
+ Assist with travel and training personnel paperwork.
+ Assist with office supply needs and vendor negotiations.
+ Perform a wide range of clerical, secretarial, and general office duties including those of a confidential nature.
+ Greet persons entering premises in a professional manner.
+ Answer incoming calls and direct calls.
+ Provide general support with a variety of clerical activities.
+ Manage incoming and outgoing mail.
+ Respond to inquiries displaying a comprehensive knowledge of the facility's activities, policies, and programs.
+ Interact with partnering companies, guests, and personnel, including those at the senior level, to resolve issues and problems.
+ Modify and/or create databases and complex spreadsheets. Compile information from a variety of sources, format, prepare and distribute a variety of reports, graphs, tables, and charts.
+ Other duties may be assigned depending on the business needs of the company.
Essential Skills
+ 1-3 years of administrative assistant/receptionist experience in a professional environment.
+ Experience providing a high level of customer service.
+ Proficiency with intermediate to advanced word processing, spreadsheet, and database applications.
+ Moderate to fast, accurate keyboarding skills.
+ Excellent proofreading and writing skills.
+ Ability to multi-task and pay attention to details.
Additional Skills & Qualifications
+ Bachelor's degree in Communications or a related field.
+ Reception experience.
Work Environment
This is an in-office position requiring 40 hours per week for two weeks. The work environment is professional and requires interaction with various levels of personnel and external partners.
