Summary:
Complete preschool enrollments by working with families, preschool community liaisons, and ECE Department staff. Support adjacent student recruitment and enrollment functions such as ECE webpages and tuition billing. Provide customer service/PK enrollment help desk for ECE Department and families. Develop and promote good relations as a department resource for parents, staff and the community.
Responsibilities:
- Customer service/PK enrollment help desk: Help families complete enrollment applications over the phone and at kiosk; solve enrollment problems for families and staff; explain enrollment policies and procedures to customers, request documentation from schools/families to complete enrollment; answer phones, route inquiries regarding other offices when appropriate (Child Find, McK-V, Enrichment, Open Enrollment (OE)); Prescreen and resolve parent questions and convey concerns to appropriate staff members.
- Develop and promote good relations as a department resource for parents, staff and the community.
- Data Entry/Maintenance: Assist in maintaining accurate student enrollment, demographic and household information in the enrollment application; produce related reports/spreadsheets; participate in maintenance of departments master class lists and related spreadsheets.
- During Open Enrollment submit to School Choice lottery: verify accuracy of uploaded documents and School Choice preferences (such as BVSD employee, sibling, in and out of district) and troubleshoot issues in applications; pursue required missing or inadequate documentation; Reconcile data errors; verify household information and process new addresses into student data management system.
- Process enrollment apps to submit to Infinite Campus (IC): During Open Enrollment submit to School Choice lottery: verify accuracy of uploaded documents and School Choice preferences (such as BVSD employee, sibling, in and out of district) and troubleshoot issues in applications.Outside of the Open Enrollment window, process enrollment applications for post-lottery tuition, Universal Preschool Program and Special Education (SPED).
- Process enrollment and withdrawal requests from schools in IC (start and end dates, funding codes, schools).
- Support administration of tuition billing and collections.
- Support ECE website maintenance--assist in updating ECE webpages as necessary.
- Work with the ECE team to complete both routine and special projects.
- Perform other duties as assigned.
Qualifications:
Required:
- High school diploma or equivalent.
- Minimum of three years experience in general office occupations or equivalent education and computer experience.
- Bilingual English/Spanish (must pass BVSD assessment)
- Communicate (read, write, and speak) in English.
- Completed and submitted BVSD online application.
Preferred:
- Bachelors degree
- Experience working in Google Docs, Infinite Campus, Procare, FinalSite.
- Data entry experience in Microsoft Office and/or Google Tools.
- Ability to maintain confidentiality in all aspects of the job.
Salary Information:
Salary Placement varies according to experience and education.
*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule). BVSD engages in a salary placement process vs. a salary negotiation process.
