Under the direction of the Manager of Sports Medicine and Reid Fitness, the Office Assistant performs all front office duties including answering the telephone, scheduling on-going patient appointments, performing check-in functions, and maintaining patient medical records. This individual works together with the clinical staff to achieve quality outcomes for the patient.

Overview of Responsibilities:
- Provide regular and dependable attendance.
- Answers and triages incoming telephone calls/Department Voicemail/email, responds to questions, takes appropriate messages, or transfers calls, as necessary.
- Alerts clinical staff to patient arrival in specified situations (i.e., late arrival) via phone call, text, and/or email.
- Maintains appointment schedule by scheduling/rescheduling on-going patient care based on established Plan of Care (appointment length, frequency, and duration), urgency, and convenience of patient.
- Re-schedules patients for staff call-ins.
- Greets patients as they arrive.
- Observes waiting room patients
- Updates forms with copies of patient registration amd waivers when necessary.
- Verifies registration information and corrects, as necessary.
- Keeps patients informed of delays and explain alternatives when possible.
- Assists patient with billing questions as able and refers complex problems to the Sports Medicine and Reid Fitness Manager.
- Manages incoming/outgoing mail, faxes, and other correspondence.
- Performs all duties respectful of confidentiality and safety of all patients and employees.
- Adheres to established quality principles and standards established by Reid Health.
- Follows up with patients that no showed their appointment.
- Makes courtesy calls to patients for appts that are scheduled for the next business day.
- Observes universal precautions for Body Substance Isolation/disease transmission reduction.
- Opens and closes the department as assigned.
- Submits work orders as needed.
- Submits Office360 orders as needed.
Education Required: High School Diploma or equivalent
Experience Required: Previous computer experience
Experience Preferred: Six months previous clerical experience with a general understanding of insurance preferred, previous work experience in a provider office or medical related position, and knowledge of medical terminology
