Playabilities is a multi-disciplinary pediatric occupational, physical, and speech therapy clinic located in Johnson County, Kansas. We provide personalized, intensive, and client-centered therapy services for children with various neurodevelopmental disabilities including developmental delays, autism, and sensory processing disorder. Job Description
Under the general direction of the Scheduling Manager, the Office Coordinator will perform all duties associated with the efficient running of the front office and administrative duties at their respective Playabilities Clinic.
Responsibilities:
- Manages all incoming communication to the organization. As the first point of contact for visitors and clients, the Office Coordinator plays a crucial role in creating a positive and welcoming atmosphere. They are adept at directing queries to the appropriate person or place for resolution.
- Conducts the initial intake process for Potential Clients (PCs) including creating new profiles for incoming clients in the Electronic Medical Records system (EMR).
- Maintains updated Plans of Care for clients throughout their entire treatment process.
- Processes payments for current clients in the EMR
- Performs insurance verifications for new clients
- Maintains clinic supplies
Ensure the functionality of all office equipment - Manage the accountability for the clinic's daily upkeep and general organizational needs, ensuring a consistently clean and efficiently running environment in all areas.
- Act as the administrator for the patient portal, promptly addressing any technical issues that may arise.
- Assists with ensuring the efficient operation of daily schedules for all therapists, coordinating planned coverage to guarantee the seamless continuation of care for clients.
- Provides daily support and assistance to the Scheduling Manager to address scheduling requirements and ensure operational efficiency.
- Upholds a professional standard of communication with families, therapists, the clinic team, and the public. The expectation is that all communication be handled promptly and professionally, with a commitment to responding to electronic communication within at most two business days.
- Acts as a liaison for families-addressing questions or concerns, and directing or escalating them to the appropriate team member for resolution
- Connects families with the right resources, ensuring high-touch services that meet their needs.
- Contributes to fostering a healthy workplace culture by supporting Playabilities Core Values and facilitating clinic-wide events
- They oversee Rehab Techs, contributing to the overall coordination and success of the clinic.

All Playabilities Team Members are required to adhere to the Health Insurance Portability and Accountability Act (HIPAA) and maintain strict confidentiality concerning all patient, employee, and company proprietary information. The Office Coordinator is expected to abide by the confidentiality guidelines in the Employee Handbook.

Requirements
- Experience using an Electronic Medical Records system (EMR)/ Raintree experience highly preferred
- Minimum 1 year of customer service experience
- Prior therapy clinic experience highly preferred (Occupational, Physical, or Speech Therapy)
- Prior medical office experience preferred
- Minimum of 1-year experience using Microsoft Office with intermediate Excel exposure
Schedule
In-person, 40-hour work week, Monday-Friday
Compensation
Starting at $42,000
Location
This position will be at our Prairie Village clinic.
