ABOUT THE OPPORTUNITY
The Office Manager and Executive Assistant directly supports the Connecticut-based Service Center Leadership Team in multiple areas, including calendaring, travel plans, planning/scheduling meetings, organizing conferences and events, and contributes to other team efforts by accomplishing related tasks as assigned. This position plays a crucial role in ensuring the smooth operation of our Farmington Service Center and providing essential support to our team.
This position interacts with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.

General Office Support
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly.
- Manage and maintain positive vendor relationships and partnerships including but not limited to office cleaning service provider, building management team, and other key partnerships.
- Assist with office layout planning and design, including office setups and moves.
- Maintain a clean and organized office space, including common areas and meeting rooms.
- Identify opportunities for process and office management improvements, and recommends, designs, and implements new systems as needed.
- Manage office supplies and equipment, ensuring timely replinishment and cost-effectiveness.
- Manage Service Center conference and training rooms (training/meeting calendar) .
- Perform receptionist duties: greet visitors, answer and direct service center phone calls, receive, sort and distribute incoming mail and deliveries, and manage outgoing mail. Responds to regularly occurring requests for information.
- Assist with coordinating meals, AV needs, meeting space set-up and preparing mataerials for on-site trainings.
- Work independently and within a team on special nonrecurring and ongoing projects.
- Lead culture/fun committee including recruiting new committee members.
- Assist in coordinating office events and activities.
- Be receptive to other duties, responsibilities or activities that may be assigned at any time.
- Act as the cultural ambassador for CAPLICO values.
Leadership Team Support
- Perform general administrative duties calendaring, meeting coordination, travel arrangements, and processing expense reports.
- Type and design general correspondences, memos, charts, tables, graphs, etc. Proofread for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Coordinate Service Center Leader meetings including travel arrangements, meals, and activities.
