Position Overview: The Executive Assistant will provide comprehensive administrative support to the executive team, including managing schedules, coordinating meetings, and handling various office tasks. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities:
Calendar Management: Schedule and organize meetings, appointments, and travel arrangements for executives. Ensure that executives are prepared for meetings and events.
Communication: Act as a liaison between executives and internal/external stakeholders. Handle incoming communications, including emails and phone calls, and respond or redirect as appropriate.
Document Management: Prepare, review, and edit correspondence, reports, presentations, and other documents. Ensure accuracy and confidentiality in all written materials.
Meeting Coordination: Organize and coordinate meetings, including logistics, agendas, and follow-up actions. Take minutes during meetings and ensure timely distribution to relevant parties.
Travel Coordination: Arrange travel itineraries, accommodations, and transportation for executives. Handle any travel-related issues or changes.
Office Management: Oversee daily office operations, including ordering supplies, managing equipment, and maintaining a tidy and organized workspace.
Project Support: Assist with various projects and initiatives as needed. Conduct research, compile data, and provide administrative support to ensure project success.
Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
Qualifications:
Education: High school diploma required; Associate’s degree or Bachelor’s degree preferred.
Experience: Minimum of 3-5 years of experience as an executive assistant or in a similar administrative role.
Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Strong problem-solving skills and attention to detail.
