Operations Administrative Representative Needed in Oxnard for a Commercial Janitorial Company (in-person)
Pay Range = $22 - $25/hour (DOE)
Commercial Janitorial Service Industry
Objective:
The Operations Admin role supports the daily operations of the field office and client relationships. The role is focused on managing the day-to-day administrative functions such as client complaints/requests, supervisor work orders, timekeeping, recruiting, inventory management, maintaining customer and employee files/CRM, handling maintenance issues and providing any requested administrative support.

- Maintain a well-groomed professional appearance and adhere to company standards and codes.
- OPS Administration
- Answer Phones, Check Emails and Voicemails
- Maintains accurate and up-to-date OPS files, records, and documentation, filing.
- Biweekly Zoom Meeting with Corporate
- Update TIME KEEPING/SCHEDULING SYSTEM

Budgets & Timekeeping
- Generate Daily Overtime Report
- Generate Daily Overbudget Report
- Generate 7-Day Overtime Report
- Update TIME KEEPING/SCHEDULING SYSTEM with daily time adjustments.
- Monitor Daily No-Show Alerts
Scheduling
- Assist with coordinating coverage.
- Coordinate Coverage for Call Outs & Approved Absent Request
- Coordinate Coverage for decontaminations, detail, and janitorial service
- Coordinate New Startup Accounts
- Assist with Work Orders
- Reviewing Supervisor Work Orders and follow up on items
- Creating Supervisor Work Orders
- Create Detailer/Janitor Work Orders
- Track & Schedule Inspections
- Track & Schedule Customer Complaint follow up
- Track & Schedule Detail
- Update Supervisor Account List & Open Account List
- Assist with On Call/After Hours & Weekends
Sales/Service
- Maintain Lead Nurture Program and provide follow ongoing sales efforts through CRM, calls, email's, newsletters. Etc.
- Using CRM's email system and phone calls, proactively sell and schedule add-on work to existing clients.
- Availability to represent company at any Tradeshows, BOMA meetings, or Chamber of Commerce events when requested.
