Job Summary:
The Operation Assistant is responsible for ensuring that all company operations adhere to regulatory requirements and internal policies, with a focus on procurement, grant writing, and international shipping. This role involves maintaining compliance with local, national, and international laws, managing risk, and supporting the procurement team in making informed and compliant decisions. The ideal candidate will have a strong understanding of regulatory compliance, excellent attention to detail, and the ability to manage multiple tasks effectively.
Key Responsibilities:
Regulatory Compliance:
Ensure all company operations comply with relevant local, national, and international regulations.
Develop, implement, and enforce internal compliance policies and procedures.
Conduct regular audits to ensure ongoing compliance.
Procurement:
Oversee vendor selection to ensure compliance with certifications, ethical standards, and financial stability.
Review and approve procurement contracts to include necessary compliance clauses and mitigate risks.
Provide training and support to procurement staff on compliance requirements and best practices.
Grant Writing:
Research and identify grant opportunities relevant to the company’s operations and objectives.
Prepare and submit grant applications, ensuring adherence to the specific requirements and regulations of the granting body.
Manage and report on grant-funded projects to ensure compliance with grant conditions and successful project delivery.
International Shipping:
Ensure all international shipping documentation meets regulatory requirements of exporting and importing countries.
Stay updated on customs regulations, tariffs, and trade agreements, ensuring compliance.
Mitigate risks associated with international shipping, including sanctions, embargoes, and export controls.
Risk Management:
Identify and mitigate compliance risks across all areas of responsibility.
Maintain proper documentation of compliance activities to ensure transparency and accountability.
Training and Education:
Develop and deliver training programs for staff on compliance topics.
Provide ongoing support and guidance to ensure staff adherence to compliance standards.
Qualifications:
Associate's degree in chemistry, Biology, or Business Law.
The ideal candidate will have a minimum of 2 years of experience in a compliance role, preferably within a manufacturing or procurement environment. Talented new graduates considered.
Experience with grant writing and knowledge of international shipping regulations desired.
Strong understanding of regulatory requirements and compliance best practices.
Excellent attention to detail and organizational skills.
Strong analytical and problem-solving abilities.
Effective communication and interpersonal skills.
Ability to manage multiple tasks and priorities in a fast-paced environment.
