General Summary: Provides administrative support for the Offices of Accessible Education, Academic Advising, Career Exploration Center and Assistant Dean for Student Success within the guidelines of applicable laws, the College and departmental policies and procedures. Works closely with the directors from each office to create a positive experience for students, faculty, recruiters, alumni and vendors. Manages and streamlines efficient administrative processes. Reports to the Assistant Dean for Student Success and works collaboratively with other ASC staff and administrators.
Essential Job Functions:
1. Performs administrative work, including assisting the Assistant Dean for Student Success, Director of Accessible Education, Director of Academic Advising and Director of the Career Exploration Center with
correspondence, filing, data entry, scheduling meetings, sorting and distributing mail for the offices, answering telephones, ordering office supplies, updating bulletin boards, portal page and web site and written
notifications to students.
2. Coordinates the note taking and testing accommodations processes including receipt of requests, assignment to testing calendar, receipt from and delivery to instructors and, if applicable, provision of technological support.
3. Works with the administrative teams to administer and provide logistical support to set up final exams, academic components of Legacy: New Student Orientation and other programs and events.
4. Manages the tracking systems for forms, vendor requests and administrative activity for the calendars including room requests and Irvine announcements submissions for programs and events.
5. Manages job approval process for Handshake, the online job board, and supports on-campus use of Handshake for student employment.
REQUIREMENTS
EDUCATION: 2 year college/trade school in a related occupational field of study. BA/BS degree preferred.
EXPERIENCE: Minimum of 2 years work experience.
KNOWLEDGE/SKILLS/ABILITIES:
● Ability to communicate effectively with demonstrated ability to tailor messages to diverse audiences.
● Highly organized with an ability to multitask and prioritize details for multiple programs and collaborations.
● Strong intercultural competence and a desire to work with students from diverse backgrounds at various levels of experience.
● Computer skills in Windows and Google apps. Knowledge of forms, Smartsheet, Qualtrics and Handshake preferred. Ability to edit in Adobe suite preferred.
● Demonstrated ability to collaborate in a team environment to meet established goals.
● Strong interpersonal skills, ability to interact in a positive, helpful manner with a wide variety of personalities/constituencies.
● Demonstrated ability to work independently and to maintain confidentiality.
● Ability to work on campus in person and occasional evenings and weekends, as needed.
PHYSICAL DEMANDS
Intermittent sitting, standing, stooping, crouching, walking, and occasional moving of light objects. Work is
performed in an office.
