As a Workplace Services Coordinator within the Corporate Facilities Department, you will ensure the smooth and efficient operation of the workplace environment. You will provide administrative support to the facilities team and help maintain the productivity and functionality of corporate facilities.
Responsibilities
The base range for this contract position is $19- $23/per hour, depending on experience.
Our pay ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hires of this position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. As a Workplace Services Coordinator within the Corporate Facilities Department, you will ensure the smooth and efficient operation of the workplace environment. You will provide administrative support to the facilities team and help maintain the productivity and functionality of corporate facilities.
Responsibilities
- Manage office supplies, snacks inventory, and restocking across all locations.
- Handle incoming and outgoing mail, emails, and calls in a professional manner.
- Maintain records related to facility operations such as maintenance schedules and service contracts.
- Prepare reports, presentations, and documents as requested by the facilities team.
- Serve as a liaison between the facilities department and stakeholders, responding to inquiries and requests.
- Coordinate meeting room bookings, equipment setup, and catering for corporate events.
- Assist with office relocations, renovations, and other facility-related projects.
- Report maintenance issues and complete tasks addressing 5S Inspection findings.
- Conduct regular facility inspections to ensure safety and compliance.
- Support seating audits and seating terminations for optimal workspace use.
- Perform property management audits, including parking and gym access.
- Assist in managing vendor relationships, including scheduling services and processing invoices.
- Coordinate vendor access to the facility and ensure compliance with policies.
- Provide support to other departments as needed.
- Assist with special projects and maintain confidentiality when handling sensitive information.
- High school diploma or equivalent; coursework in office administration or facilities management is a plus.
- Experience in an administrative or coordinator role, preferably in a corporate setting.
- Strong organizational skills and the ability to prioritize tasks effectively.
- Excellent communication skills and the ability to interact professionally at all levels.
- Proficiency in Microsoft Office Suite, ServiceNow, Nuvolo, SharePoint, Teams, and other software.
- Diligent with data entry and record-keeping.
- Ability to work independently and as part of a team.
- Knowledge of basic health and safety regulations is a plus.
- Occasional overtime may be required.
- Some physical activity, such as moving office supplies, may be needed.
- Limited travel may be necessary to support projects.
