Operations Executive Assistant - Pritchard Industries

We are seeking a full-time Operations Executive Assistant to perform a variety of administrative tasks. The Ideal candidate will have professional attitude & appearance and is self-motivated, hardworking, dependable, and responsible.

Job Duties:

• Plan, organize, and maintain operational data and monitoring work performed and quality control to produce the desired outcome of a high-quality service that satisfies client demands ensuring positive client, contractor, and vendor relationships.
• Assist the management team with daily operational activities.
• Assist with project management by tracking progress and resolving issues within the work order system.
• Maintain the inspection system with routine analyses to identify inefficiencies and areas where improvements could be made.
• Work with team leaders, managers and department heads to streamline operational processes.
• Facilitate feedback from assigned client(s) and subcontracts to management.
• Schedule maintenance for assigned client(s), including weekly reporting.
• Preparing and maintaining operations documents and reports.
• Assist with the preparation of pricing/quotes and processing COI requests, retrievals and tracking for all active contractors.
• Answer calls, transferring callers, and taking messages, organizing and processing paperwork, greeting visitors, organizing files, and completing administrative duties as assigned.
• Communicate with employees, clients, customers, and vendors.

Job Requirements:

• Proficiency in MS Office (specifically Excel, Word, Outlook, PowerPoint) REQUIRED
• Excellent mathematical aptitude, attention to detail and record keeping experience
• Strong interpersonal, organizational, oral/written communication and analytical skills
• Excellent time management skills and the ability to prioritize work
• Must have the ability to deal effectively and interact well with others, multi-task, manage interruptions, establish work priorities, handle stress, and successfully function in a fast-paced environment
• Ability to meet all requirements for applicable safety policies
• Reliable Transportation

Benefits:

• Salary: $ 65,000-75,000 annually
• Full-time 8am-5pm
